A leading property management company in Ipoh, Malaysia, is seeking a skilled Facilities Manager to oversee day-to-day building operations. Responsibilities include coordinating maintenance works, managing inquiries and service requests, ensuring compliance with safety standards, and administering budgets and reports. The ideal candidate will have strong leadership skills and a proactive approach to facility management, ensuring efficient operations and tenant satisfaction.

Responsibilities

  • Oversee day-to-day building and facilities management services for the client.
  • Coordinate maintenance works with in-house teams and contractors.
  • Handle inquiries, complaints, and service requests professionally.
  • Ensure compliance with safety, health, and environmental standards.
  • Assist in reviewing documentations and managing filing systems.
  • Liaise with authorities for permits, insurance, and licenses.
  • Draft and enhance Standard Operating Procedures.
  • Oversee building-related purchase requisitions.
  • Prepare weekly/monthly reports.
  • Monitor and renew regulatory licenses and permits.
  • Validate billing documents and assist Finance with reconciliations.
  • Supervise outsourced service providers and handle contracts.
  • Coordinate council meetings and prepare minutes.
  • Ensure healthy collection for service charges and sinking funds.
  • Coordinate renovation and fit-out adherence.
  • Ensure timely payment of assessments and licenses.
  • Ensure properties are insured accordingly.
  • Manage upgrading and repainting of buildings.
  • Liaise with consultants and government authorities.
  • Monitor collections and discuss actions against defaulters.
Job description
Responsibilities
  • Oversee day-to-day building and facilities management services, delivery, processes and system efficiently and effectively for the client.
  • Coordinate preventive and corrective maintenance works with in-house maintenance team, service providers and contractors.
  • Handle inquiries, complaints, and service requests promptly and professionally.
  • Ensure compliance with safety, health and environmental standards.
  • Assist in supervising and reviewing documentations, correspondence, notices and operational reports, while managing and improving centralized paper and electronic filing systems.
  • Liaise with the relevant authorities in relation to permits, insurance, licenses, etc for operations, property maintenance, security and safety.
  • Take lead in drafting, reviewing and enhancing Standard Operating Procedures (SOPs) to ensure consistent and efficient building operations.
  • Oversee building-related purchase requisitions, ensuring proper budgetary alignment approvals.
  • Preparation of weekly/monthly report.
  • Monitor, update and renew all regulatory licenses, permits and certificates.
  • Monitor utility and rental charges, validate billing documents and assist Finance with reconciliations, fix deposits and follow up on outstanding payments.
  • Supervise and evaluate the performance, schedule and compliance of outsourced service providers, including handling contract renewals and vendors negotiations.
  • Perform other tasks assigned by the Superior from time-to-time.
  • Attending to complaints and coordination of rectification works.
  • Coordinate and arrange monthly council meetings, AGM, EGM and prepare Minutes of Committee Meeting.
  • Administration, marketing, asset management, insurance management (in liaison with the owner).
  • Ensure healthy collection for monthly service charges, sinking fund, etc.
  • Ensure adherence to renovation and fit-out guides.
  • Ensure prompt payment of assessment, quit rent, licenses to avoid penalty.
  • Ensure that the properties are insured accordingly and on time.
  • Taking charge of upgrading, repainting of building.
  • Liaising with consultants, solicitors, local councils, Ministry of Housing, Lembaga Perumahan and other Govt authorities.
  • Monitoring collections and to discuss with the committee on the various actions to be taken against defaulters.
