Job Description

Primary Duties & Responsibilities

• Procurement KPI Management:
• Meet procurement KPIs as defined by Corporate Procurement and Divisional Purchasing teams, which include cost savings, cost avoidance, on-time delivery, Purchase Requisition (PR) to Purchase Order (PO) conversion, vendor payment term improvement, and other relevant metrics.
• Continuously track and report progress against KPIs to ensure targets are met.
• Material Purchasing Support for Production:
• Provide material purchasing support for production requirements, ensuring timely procurement of materials.
• Ensure all purchases are made in accordance with Commodity Agreements where applicable, driving cost efficiency and compliance.
• Procure and Manage Assigned Commodities:
• Procure and manage the purchase of materials within the assigned commodity areas.
• Maintain strong supplier relationships, negotiate competitive prices, and ensure the timely availability of materials in line with production needs.
• Supply Chain Coordination:
• Coordinate activities across the supply chain, collaborating with suppliers, contract manufacturers (CMs), domestic and international factory teams, and the Divisional Planning team to ensure smooth material flow and timely production.
• Address and resolve any supply chain issues that may arise, ensuring minimal impact on production timelines.
• Support Internal Customers via i-Procurement:
• Support internal customers by utilizing the self-service requisitioning application (i-Procurement).
• Create, submit, and track Purchase Orders (POs), ensuring timely order fulfillment and effective communication with suppliers regarding delivery schedules.
• Demand/Supply Coordination with Planning:
• Work closely with the Planning team on Demand/Supply requirements using the MRP planning system (APS).
• Regularly review MRP data, identify gaps in supply, and issue POs to ensure all production requirements are met.
• Monitor production schedules and inventory levels to proactively address any material shortages or excesses.
• PO Confirmation & Management in Oracle:
• Collaborate with suppliers to confirm Purchase Orders (POs) in the Oracle system, ensuring that all information is accurate and up-to-date.
• Regularly review POs, manage rescheduling (reschedule in and out), and handle cancellations as needed to optimize inventory and reduce excess stock.
• Execute Core Purchasing Activities:
• Execute fundamental purchasing activities, including Return to Vendor (RTV) management, PO status tracking, work order processing, and Accounts Payable (AP) maintenance.
• Ensure all purchasing documentation is accurate and processed in a timely manner to facilitate smooth operations and payments.
• Inventory Control & Optimization:
• Work closely with suppliers to maintain optimal control over raw material inventory levels, ensuring efficient turnover ratios.
• Actively monitor and adjust inventory levels to support production schedules while minimizing excess inventory and reducing carrying costs.
  
  

Key Performance Indicators (KPIs):

• Cost Savings & Cost Avoidance: Achieve specific percentage savings against targeted procurement spend.
• On-Time Delivery: Maintain a high percentage of on-time deliveries from suppliers.
• PR to PO Conversion: Meet or exceed targets for efficient conversion of Purchase Requisitions (PRs) into Purchase Orders (POs).
• Vendor Payment Term Improvement: Drive improvements in supplier payment terms, such as discounts or extended terms.
• Inventory Management: Optimize raw material inventory turnover ratio and reduce excess inventory.
  
  

Education & Experience

Qualifications:

• Education: Bachelor's degree in Supply Chain Management, Business Administration, or related field.
• Experience: 5 years & above of experience in procurement, purchasing, or supply chain management, preferably in manufacturing or production environments.
• Technical Skills: Proficiency with Oracle and SAP system. Experience with i-Procurement or similar self-service requisitioning applications is a plus.
• Knowledge: Strong understanding of procurement processes, supplier relationship management, and inventory control.
• Skills: Strong negotiation, analytical, and problem-solving skills. Ability to manage multiple tasks in a fast-paced environment and work effectively across teams. Presentation skills are preferred.
• Language: Good in both English & Chinese writing & speaking.

Working Conditions

• Full-time, on-site position based in Ipoh.
• Occasional travel to suppliers or manufacturing locations may be required.
