A leading recruitment platform is seeking a Procurement Specialist in Subang Jaya, Malaysia. The role involves managing trade and non-trade procurement activities, ensuring timely deliveries and compliance with procurement SOPs. Ideal candidates should possess a Bachelor's degree in Supply Chain Management and 3-5 years of procurement experience, with strong negotiation and project management skills. The position offers opportunities for process improvement and collaboration with various teams within the organization.
Manage procurement of trade items (raw materials, packaging, agrochemicals, fertilizers, finished goods for resale).
Handle purchasing of non-trade items (office supplies, spare parts, tools, maintenance, services, indirect materials).
Process PRs into POs, timely issuance of purchase orders, and ensure timely deliveries.
Work with Assistant Manager/Manager/HOD to source and negotiate with local suppliers to achieve the best balance of cost, quality, and service.
Maintain updated supplier records, price lists, and contracts.
Monitor supplier performance, resolve supply issues, and support vendor evaluation.
Collaborate with Material and Production Planner, Warehouse, and Production to ensure timely stock availability.
Work with Finance on invoice verification, PO matching, and supplier payment matters.
Assist in supplier sourcing and evaluation for both trade and non-trade items.
Ensure accuracy and completeness of purchasing and shipping records.
Maintain a proper filing system for audit and compliance.
Adhere strictly to procurement SOPs, company policies, Anti-Bribery and regulatory requirements.
Prepare purchasing reports (trade vs non-trade spend, ASL, etc.) to Assistant Manager/Manager/HOD.
Contribute to process improvements in purchasing and supplier management.
Assist Assistant Manager in coordinating foreign purchases when required.
Track shipments with overseas suppliers, freight forwarders, and clearing agents.
Follow up on import documentation (invoice, packing list, BL/AWB, COO, etc.) to ensure smooth clearance.
Maintain shipment tracking reports and highlight risks of delay.
Support Finance, Warehouse, and QA/QC teams on import-related compliance and documentation.
Bachelor's degree in Supply Chain Management, Business Administration, or related field
3-5 years of procurement experience
Proven negotiation and supplier management skills
Strong analytical and problem-solving abilities
Experience in international trade documentation
Understanding of customs regulations and compliance
Strategic thinker with commercial acumen
Results-oriented with strong project management skills
Excellent communicator and relationship builder
Detail-oriented with ability to manage multiple priorities
