The HR & Administration Specialist will support the Human Resources Manager in Malaysia by enhancing operational capabilities and collaborating on daily HR and business partner activities. This role ensures efficient and smooth task execution to meet business requirements, including providing office administration support.
Major Responsibilities:
Be proficient in systems used for HR and procurement processes.
Coordinate work to deliver effective and timely solutions for business partners. Proactively communicates and addresses questions posed by business to ensure understanding of HR processes and initiatives.
Develop and organize employee engagement activities by generating creative ideas and managing logistics, including the creation of videos and newsletters to enhance internal communication and engagement.
Manage on-boarding processes and activities for new hires, contractors, and interns.
Support interview arrangement and general offer letter.
Interfaces with vendors and processes payment (HR).
Responds to employees’ inquiries and requests with timely, accurate, and professional responses while continually prioritizing among static (email, correspondence, calls).
Running reports.
General office administration includes maintaining office inventory and supplies, managing all liabilities licenses, office maintenance and etc.
Other assigned tasks/projects/events from time to time.
Qualifications:
Bachelor’s degree in human resources/Psychology/Business Administration or related field.
Fresh graduates with the above degree and good CGPA are welcome to apply.
· Computer literate and knowledge in Microsoft Office: PowerPoint, Word, Excel, Canva.
Build strong relationships with peers and business partners.

Learn fast, grasps the ‘essence’ and can change the course quickly where indicated. Creates a learning environment, open to suggestions and experimentation for improvement.
Ability to handle highly confidential data.

Ability to deal with time constraints and effectively manage deadlines.
Ability to interact effectively with individuals at all levels of the organization.
Knowledge of HR reputation and laws – EA. Knowledge in ER/IR is a plus.
Proactively provides solutions to meet business needs.
