Job summary

A food manufacturing company in Penang is looking for an experienced Admin Executive / Executive Assistant to support the CEO. This full-time role involves high-level administrative duties including managing schedules, liaising with stakeholders, and supporting sales documentation processes. Ideal candidates will have at least one year of executive administrative experience, strong organizational skills, and proficiency in Microsoft Office. Being able to communicate in Mandarin is preferred to serve Mandarin-speaking clients.

Job description
Admin Executive / Executive Assistant to CEO

Are you a highly organised and efficient administrative professional looking to support an industry-leading organisation? We are seeking an experienced Admin Executive / Executive Assistant to work closely with the CEO of JFC Food Industries Sdn. Bhd. in our Juru, Penang office. This is a full-time role that will be integral to the smooth running of the CEO's office and the organisation as a whole.

What you’ll be doing

Providing high-level administrative support to the CEO, including calendar management, email handling, and coordinating meetings and travel arrangements

Acting as the primary point of contact for the CEO, liaising with internal and external stakeholders

Assisting with the preparation of presentations, reports, and other documents as needed

Maintaining and organising the CEO’s filing system and other administrative records

Supporting various projects and initiatives as directed by the CEO

Prepare and process sales documentation including quotations, sales orders, invoices, delivery orders, and customer correspondence.

Coordinate with the Sales Team, Finance, and Operational Team for order fulfilment, delivery scheduling, and stock availability.

Monitor customer enquiries, track order status, and ensure timely response and follow‑ups.

Assist in generating sales reports, monthly summaries, and performance tracking for management review.

What we’re looking for

Minimum 1 year of experience in an executive‑level administrative role

Excellent organisational and time management skills, with the ability to prioritise multiple tasks and meet deadlines, , and ability to work independently, while also being a team player

Strong written and verbal communication skills, with the confidence to interact with senior stakeholders

Ability to communicate in both English and Mandarin is preferred. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin‑speaking clients.

Proficient in the use of Microsoft Office suite (Word, Excel, PowerPoint, Outlook)

Discreet and professional with a high level of integrity and confidentiality
