A leading healthcare institution in Petaling Jaya is looking for an Administration Manager to oversee various departments, manage budgets, and ensure smooth operational support. Candidates should have a diploma/degree in Business Administration, at least 5 years of administrative experience, and strong organizational skills. Proficiency in English and Bahasa Malaysia is essential. Experience in healthcare is advantageous.
Drives and directs the department in developing short and long-term goals and plans for the departments to fulfill the organization’s objectives.
Manages and administers budget and resources allocated for the departments in an effective manner.
Leads the Unit Heads of the departments in maximizing service utilization and productivity.
Oversees the effective implementation of the quality management system in the departments.
Leads the departments in planning for adequate and appropriate resources to ensure the smooth running and sustainability of the departments.
Leads the team in implementing process improvement initiatives to enhance the services delivery standards of the division.
Leads the Unit Heads in developing manpower and succession plans for the division.
Leads the Unit Heads in the division in setting labor standards to meet services delivery standards and to improve productivity.
Implement an effective centralized contracts inventory and management.
Lead and coordinate hospital and regulatory licensing.
Ensuring the smooth operation of office administration by handling daily administrative tasks, coordinating office activities and support management with various operational needs.
Provide secretarial and administrative support to the Hospital CEO and the admin office.
Responsible for taking minutes of meetings chaired by the Hospital CEO and responsible to follows-up on outstanding issues and deadlines as appropriate.
Coordinates and schedule meetings within and outside the hospital, inter-departmental activities for the Hospital CEO.
Establish and maintain an accurate and up-to-date filing system for all correspondence, department reports, and other relevant documents.
Initiate, guide and keep track of activities and projects designed to support the hospital’s goals and objectives.
Handles enquiries / complaints and direct them to the appropriate personnel to deal with.
Schedule and coordinate travel and lodging arrangements for Hospital CEO.
Stand in for the other Secretaries in the Administration Department in their absence.
Generate Monthly Corporate Activities Reports as well as ensuring documents are dispatched in a timely manner.
Diploma or Degree in Business Administration, Management or a related field.
Minimum 5 years of experience in an administrative role.
Strong organizational and multitasking skills.
Good communication skills in English and Bahasa Malaysia.
Ability to handle confidential information with discretion.
Experience in Healthcare / Hospitality setup is an added advantage.
