Our fast-growing startup trading company is looking for a proactive and reliable HR & Administrative Executive to support our operations and people management. This position plays a vital role in establishing strong HR foundations and ensuring smooth daily administrative functions within the company.
Key Responsibilities
Human Resources
- Manage the full employee lifecycle, including recruitment, onboarding, training assistance, payroll input, performance tracking, and employee relations.
- Maintain accurate employee records and ensure compliance with Malaysian labour laws (EPF, SOCSO, EIS & PCB).
- Control and monitor employee attendance, leave, and medical leave (MC), ensuring timely updates and reporting.
- Administer payroll and benefits in collaboration with the Finance & Accounts team.
- Serve as the primary touchpoint for employee inquiries and provide day-to-day HR support.
- Assist in the development and implementation of HR policies, SOPs, and continuous improvements.
- Coordinate company events, employee engagement activities, meetings, and business travel arrangements.
Administrative
- Manage and update company assets (project equipment, vehicles, and office facilities) including license renewals.
- Maintain and oversee tenancy agreements and related documentation.
- Ensure the office environment is clean, organised, and conducive for work.
- Prepare and compile tender documentation and submissions.
- Monitor, receive, and respond to company emails with internal and external stakeholders.
- Ensure proper filing and archiving of documents (physical and digital).
- Handle monthly billing and payments including but not limited to:
- Electricity and water bills
- Office stationery and supplies
- Other vendor payments as required
- Ensure payments are processed accurately and on time.
Experience Required
Min 3 Years in HR & Administration.
Qualifications
- Minimum 1 year of experience in HR and administration or a related role.
- Knowledge of Malaysian labour regulations and standard HR processes.
- Strong working knowledge of Microsoft Office (Excel, Word, PowerPoint) with the ability to multitask efficiently.
- Excellent communication and interpersonal skills, able to engage with employees at all levels.
- Highly organised, detail-oriented, and responsible in handling confidential information.
- Positive attitude, proactive mindset, and the ability to work independently in a fast-paced startup environment.
- Bachelor’s Degree in Human Resources, Business Administration, or an equivalent field is preferred.
