A property management company in Malaysia is seeking an Administrative Officer to handle office operations, financial transactions, and customer service. The role requires delivering office procedures, managing collections, and ensuring compliance with regulations. Ideal candidates should have a diploma or degree in Property Management or Business Administration, along with at least one year of related experience. Strong communication skills in English and Malay are essential. This is an integral role that involves engaging with service providers and authorities.
1. To deliver office standard operation procedure of administration in accordance with structural organization on daily, weekly, and monthly basis.
2. To execute office administration operations, safekeeping records and filing with adequate accessibility.
3. To execute and deliver financial operation related to daily collections, monthly invoices, billing, late payment interest issuance, petty cash, deposit etc in timely manner.
4. To execute and monitor collection of defaulter payments on monthly basis including notice, reminders, and any relevant documents.
5. To deliver attentive and responsive customer service as front desk of management office in managing feedbacks and complaints.
6. To engage with service providers, authorities and/ or any relevant parties in relation to building-
related matters.
7. To coordinate and legal cases and incident procedure and process in related to common property
8. To liaise with state and local regulatory agencies on the compliance of building requirements and code by Laws, rules, and regulations of relevant authorities
9. To report and update project and operations matters to superior and upper management.
10. To establish and execute Crisis Management Procedure
11. To perform any related tasks assigned by superior
