The Senior Executive, HR (Generalist) will play a key role in supporting and executing HR strategies across a wide range of generalist functions, including visa and immigration management, employee relations, training and development, compliance, and policy development. This role demands a hands-on and proactive professional who is experienced in handling diverse HR responsibilities, with strong capabilities in managing visa and work pass applications, developing HR policies, and ensuring regulatory compliance.
The ideal candidate will bring a high level of initiative, attention to detail, and the ability to operate independently while working closely with various internal and external stakeholders.
1. HR Generalist Functions
Lead and coordinate employee onboarding and orientation programs to ensure a seamless integration into the University.
Support and execute the performance management cycle, including appraisal processes and performance tracking.
Address employee queries, concerns, and grievances, escalating complex cases where necessary.
Assist in the review, drafting, and implementation of HR policies and procedures aligned with best practices and current regulations.
Serve as a resource person for employees on HR-related matters.
2. Visa and Immigration Management
Manage end-to-end processes for visa/work pass applications, renewals, and cancellations for employees and dependents.
Serve as a liaison with immigration authorities, consulates, and external agencies to ensure efficient and compliant processing.
Monitor and track all visa and work permit expiry dates, ensuring timely renewals.
Stay updated with relevant local and international labor laws and immigration policies to ensure compliance.
Provide guidance and advisory support to employees regarding visa and relocation matters.
Work closely with the recruitment team to ensure smooth onboarding of international hires.
3. Training and Development
Assist in conducting training needs analysis and propose appropriate learning interventions.
Coordinate and manage internal and external training programs, including registration and tracking through HRD Corp (formerly HRDF), and handle related claims.
Evaluate training effectiveness and contribute to continuous learning initiatives across the organization.
Maintain accurate and updated training records and reports.
4. Employee Relations
Contribute to employee engagement efforts and initiatives to enhance workplace culture.
Provide support in handling employee relations issues, ensuring alignment with policies and employment laws.
Assist in conducting investigations and preparing documentation for disciplinary actions where required.
Participate in organizing staff activities and internal communications.
5. Compliance and Reporting
Ensure HR practices are in full compliance with labor laws and internal policies.
Support HR audits and ensure all documentation is accurate, complete, and up to date.
Prepare HR reports and analytics for management decision-making and statutory purposes.
Bachelor’s degree in Human Resources, Business Administration, or a related field.
Requirements:
Bachelor’s degree in Human Resources, Business Administration, or a related field.
Minimum 3-5 years of experience in a HR generalist role, preferably with exposure in the higher education or corporate sector.
Strong working knowledge of visa and immigration processes, particularly related to expatriate employees.
Proven experience in drafting and implementing HR policies.
Solid understanding of Malaysian labor laws, employment practices, and HR compliance requirements.
Excellent organizational, analytical, and communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with HRIS is an advantage.
Ability to handle confidential information with integrity and professionalism.
Mandarin proficiency is preferred to liaise effectively with staff and partners from China.
High level of initiative, problem-solving ability, and the capacity to manage multiple priorities.
