Shipping Coordinator
Job Description
About the Role:
We are seeking a detail-oriented and organized Shipping Coordinator to join our Logistics team in Johor Bahru, Malaysia. As a Shipping Coordinator, you will play a vital role in ensuring the accurate and timely dispatch of goods to our customers. Reporting to the Logistics Manager, you will manage shipping documentation, coordinate with carriers, and support efficient warehouse operations.

Permanent Site :Pasir Gudang (moving permanently on Q3)
Key Responsibilities:
- Prepare and process shipping documents, including invoices, packing lists, and labels, ensuring accuracy and compliance with company policies.
- Communicate with shipping companies, freight forwarders, and other logistics providers to arrange Incoming and Outgoing shipments, optimizing schedules to meet customer requirements.
- Able to handle sea, air and land freight arrangements. Familiar in managing FCL and LCL shipments. Manage and monitor local trucking leadtimes and track deliveries.
- Inspect outgoing shipments to ensure that the correct items and quantities are being shipped, and that all products meet quality standards.
- Collaborate with inventory and warehouse teams to ensure that stock levels are sufficient to fulfill orders and that inventory records are up to date where necessary.
- Coordinate with crating vendor (If required) for any outgoing shipment preparations, crating readiness per shipment plans
- Maintain and ensure accuracy of shipment tracking and perform monthly validation and audit
- Monitor and track shipments, providing updates to customers and internal teams on the status of deliveries.
- Process and document returned goods/raw materials, i.e. RTV/RMA, coordinating with relevant departments to resolve any issues and update inventory records.
- Keep detailed records of all shipping activities, including shipment dates, costs, and carrier performance, to ensure accurate reporting and audit readiness for billing, payment and compliance purposes.
- Ensure that all shipping activities comply with local and international regulations, including customs requirements and safety standards
- Support Logistics Manager on any management or operational reporting requirements as and when needed.
- Support FIN, Logistics teams on quarterly or yearly or ad-hoc audits in warehouse or FG (finished goods) area.
- Able to transact on DagangNet for duty payments would be an added advantage.
- Other duties as assigned.
Qualifications:
- Diploma (minimum) or Degree holder (plus) in any field with 5-7 years of experience in a similar role, preferably in a Manufacturing environment; additional qualifications in logistics, supply chain management, or related field are a plus.
- Strong organizational and communication skills, with a keen attention to detail and the ability to multitask effectively.
- Proficiency in using shipping software and inventory management systems; intermediate computer skills.
- Ability to perform physical tasks as well, including lifting and moving small/medium packages/parcels as needed.
