A leading fragrance company located in Malaysia is looking for a Warehouse Operations Manager to oversee all warehouse activities including operations, inventory management, and compliance with safety regulations. The position requires a minimum of 5 years of experience in logistics or warehouse management with strong leadership and communication skills. The ideal candidate should also have a solid understanding of inventory control processes and experience with ERP systems. This role is crucial for ensuring efficiency and accountability in warehouse operations.
Lead and manage all warehouse activities to ensure smooth daily operations and on-time delivery performance.
Oversee receiving, inspection, identification, and storage of raw materials, packaging materials, consumables, and finished goods in accordance with SOPs, MSDS, and regulatory requirements.
Ensure accurate picking, packing, labelling, and dispatch of finished goods and samples according to sales orders and shipping requirements.
Ensure strict compliance with batch/lot control, traceability, and FIFO/FEFO principles.
Review and approve shipment documentation (DO, invoice, packing list, COA, export documents where applicable).
Coordinate with logistics providers, freight forwarders, and internal teams to meet delivery schedules and optimize transportation costs.
Maintain overall accountability for inventory accuracy across all warehouse locations.
Establish and monitor inventory control processes, including cycle counts, stock takes, and reconciliation.
Analyse and investigate inventory discrepancies, damages, slow-moving or obsolete stock, and implement corrective actions.
Ensure all warehouse-related documentation is accurate, timely, and properly archived (manual and system-based).
Support ERP/WMS system integrity and continuous data accuracy improvement.
Ensure warehouse operations comply with ISO 9001, ISO 14001, internal SOPs, legal, and regulatory requirements.
Enforce safety standards related to chemical handling, hazardous materials, fire safety, and waste management.
Lead incident, near-miss, and non-conformance reporting, investigation, and corrective/preventive actions.
Ensure warehouse readiness for internal and external audits and lead audit responses related to warehouse activities.
Maintain high standards of housekeeping, 5S, and layout optimization for safe and efficient operations.
Lead, coach, and develop warehouse team members, including Team Leaders, Warehouse Leaders, and operators.
Plan manpower requirements, shift arrangements, and workload distribution to meet operational demands.
Conduct performance monitoring, training, and competency development (including safety and SOP compliance).
Promote a culture of accountability, teamwork, safety, and continuous improvement.
Ensure proper usage, maintenance, and certification of warehouse equipment (forklifts, pallet jacks, racking, storage systems).
Coordinate preventive maintenance and report repair or replacement needs.
Support warehouse layout planning and capacity optimization.
Identify and implement process improvements to enhance productivity, accuracy, safety, and cost efficiency.
Establish and track warehouse KPIs (inventory accuracy, OTIF delivery, productivity, damages, safety metrics).
Support operational excellence initiatives such as Lean, Kaizen, and digitalization projects.
Participate in budgeting, cost monitoring, and expense control related to warehouse operations.
Work closely with Production, QA, Planning, Procurement, Customer Service, and Finance to support business objectives.
Provide timely reporting and insights to management on warehouse performance and risks.
Diploma or Degree in Logistics, Supply Chain Management, Business Administration, Engineering, or related field.
Minimum 5 years of warehouse or logistics experience, with at least 2–3 years in managerial role.
Strong knowledge of warehouse operations, inventory management, and Goods In / Goods Out processes.
Hands‑on experience with batch/lot control, traceability, FIFO/FEFO, and chemical or hazardous material handling.
Good understanding of ISO 9001, ISO 14001, and workplace safety regulations.
Experience in manufacturing, fragrance, chemical, pharmaceutical, or FMCG environment preferred.
Proficient in ERP/WMS systems and MS Office (Excel, Word, basic reporting).
Strong leadership, communication, and stakeholder management skills.
Analytical mindset with strong problem‑solving and decision‑making abilities.
Able to work under pressure, manage multiple priorities, and drive change effectively.
