Position Summary
Reporting to the Executive Director, the Office Manager will be responsible for the overall office procedures, ensuring that the Human Resources Personnel Policy is adhered to and is responsible for the supervision of administrative employees.
Key Responsibilities
- Available to provide administrative support for the office when required.
- Screen and direct incoming client calls and refer to appropriate staff.
- Assist with the front desk inquiries from staff, vendors, public & provide assistance as required.
- Receiving, documenting, and processing incoming mail daily, photocopying and distribution of mail to appropriate staff members daily.
- Maintains office services by organizing office operations and procedures; drafting correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions, staff timesheets.
- General upkeep of the photocopier, fax machine equipment; and Coding faxes and Xerox Machine.
- Track office supply inventory and help identify supply requirements.
- Maintain & organize supplies in the printer/supply room
- Assisting in the logistical planning and general organizing of conferences and meetings when required.
- Provide the Finance Department with administrative support, as required.
- Responsible for monitoring and acting as the point of contact for external contracts.
- Provides procedures for retention, protection, retrieval, transfer, and disposal of records.
- Supporting the Secretariat’s operations by maintaining office systems and supervising employees.
- Completes operational requirements by scheduling and assigning employees and following up on work performance.
- Maintains office employee morale by coaching, counseling, and disciplining employees, planning, monitoring, and appraising job performances.
- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications.
- Responsible for the supervision, evaluation and assignment of employees according to the direction and prioritization set out by the Executive Director office.
- Contributes to team effort by accomplishing related results as needed.
- Other duties as assigned.
Qualifications
Education & Experience
- Diploma or undergraduate degree in Business Administration and Office Management. An equivalent of education and experience may be considered.
- 5 years’ of experience leading in an office environment and supervising employees.
- Must be able to work well under pressure and meet deadlines.
- Excellent administrative, editing, organizational skills and research abilities.
- Knowledge of general office procedures, practices, maintains confidentiality and office equipment operations.
- Knowledge of First Nation culture, history, and issues.
- Ability to communicate effectively, both orally and in writing, demonstrates empathy.
- Demonstrated ability to work independently with minimal supervision.
- Informing employees of imminent changes, delegation, staffing, managing processes, supervision, inventory control, and reporting skills.
- Extensive knowledge and experience in the executive and administrative level of operations in an office setting.
- Excellent interpersonal skills and ability to work co-operatively as a part of an interdisciplinary team of professionals.
- Proficient in using Microsoft office -Word, Excel, Power Point and Outlook; accurate typing speed of 60 wpm.
- Adhere to AMC policies and procedures with specific attention to attendance, and professional ethics.
- Must have a valid Class 5 driver’s license and a reliable vehicle.
- Must have a current satisfactory Criminal Record Check and Clear Child Abuse Checks.
