Overview

The Archdiocese of Winnipeg is seeking a full-time Assistant to the Director of the Archdiocesan Appeal to provide administrative, organizational, strategic, and project support to ensure the effective planning, coordination, and execution of the Archdiocese’s Appeal and Stewardship Projects and Development. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting initiatives that advance the Archdiocese of Winnipeg's mission. Reporting to the Director of the Archdiocesan Appeal, a successful candidate is highly organized, comfortable working with data, proficient in Microsoft Office and Office 365 applications, and able to support basic project management activities in a collaborative and mission-driven environment. The Assistant also serves as a resource for parish leaders, providing formation, practical tools, and opportunities for collaboration on stewardship and the effective coordination of other initiatives across the Archdiocese. As a visible representative of the Archdiocesan Church, the successful candidate must be a practicing Catholic, registered in a parish, and committed to living and upholding the teachings of the Catholic Church, with a desire to serve the People of God with faith, professionalism, and pastoral sensitivity.

Key Responsibilities
  • Administrative & Project Support
    • Provide high-level day-to-day administrative and clerical support, including preparing reports, memos, correspondence, meeting agendas, and speaking notes.
    • Manage the director’s calendar, scheduling and coordinating appointments, meetings and events.
    • Oversee communication, ensuring timely and professional handling of emails, calls, and internal correspondence.
    • Prepare and organize materials for meetings, ensuring all logistics and documentation are handled accurately, and follow up on action items.
    • Assist with planning, coordinating, and tracking Annual Appeal projects and timelines.
    • Maintain organized records, files, and documentation related to the Annual Appeal.
  • Data Management & Analysis
    • Compile, organize, and maintain donor and campaign data.
    • Assist with data analysis, reporting, and preparation of summaries and dashboards.
    • Support data accuracy and integrity across spreadsheets, databases, and reports.
    • Assist with tracking campaign progress, targets, and outcomes.
  • Communication & Coordination
    • Assist with the preparation of correspondence, presentations, and internal reports.
    • Coordinate communication with parishes, volunteers, and internal departments as required.
    • Support the preparation and distribution of Annual Appeal materials.
    • Provide courteous and professional communication aligned with the values of the Archdiocese.
  • Technology & Systems
    • Use Microsoft Office and Office 365 applications (Outlook, Word, Excel, PowerPoint, SharePoint, Teams) to support daily operations.
    • Assist with document management, scheduling tools, and shared digital workspaces.
    • Support basic troubleshooting and efficient use of office systems.
Requirements
  • Post-secondary education or equivalent experience in administration, business, project coordination, or a related field.
  • Basic project management skills, including task tracking, timelines, and prioritization.
  • Proficiency in Microsoft Office and Office 365 applications.
  • Strong organizational, scheduling, and time-management skills.
  • Ability to compile, organize, and analyze data with attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Experience supporting fundraising, development, or nonprofit initiatives.
  • Experience working with databases or donor management systems.
  • Familiarity with the mission and values of the Catholic Church.
  • An appreciation of the multicultural composition of the Archdiocese of Winnipeg.
  • Flexibility in work hours and availability for after-hours functions as required.
  • Means of transportation throughout the Archdiocese of Winnipeg and willingness to travel to parishes as needed.
  • A Criminal Vulnerable Sector Check and Child Abuse Registry Check are required for this role.
