A procurement services firm in Kuala Lumpur is looking for a Tender Administrator to manage tender opportunities and documentation. The role involves coordinating with internal teams, ensuring compliance and accuracy in tender proposals, and providing administrative support. Candidates should have a diploma or bachelor's degree in Business Administration and prior experience in tender administration or procurement. Strong organizational skills and proficiency in Microsoft Office are essential. The position offers a professional working environment with opportunities for growth.
Monitor and identify relevant tender, bid, Request for Proposal (RFP) or Request for Quotation (RFQ) opportunities from government portals, private sector sources, and internal pipelines.
Prepare, compile, and review tender/bid document for both technical and commercial proposals. Ensuring completeness, accuracy, and compliance with tender requirements.
Coordinate with internal stakeholders (e.g. technical team, finance, management) to gather required information/data (e.g. scope, costing, company credentials, certifications).
Maintain and manage tender schedule/tracking log — including deadlines, submission dates, amendments, clarifications, and follow-ups.
Manage vendor registration processes and maintain vendor / supplier database if required.
Assist with contract documentation, award notices, and post-award administrative procedures (e.g. contract filing, correspondence, renewals/updates).
Ensure all records related to tenders and contracts are properly organized, up-to-date, and easily retrievable.
Communicate with clients, vendors, subcontractors, and relevant stakeholders regarding tender clarifications, submission confirmations, and follow-up queries.
Provide general administrative support: e.g. scheduling meetings, documentation, correspondence, archiving, coordination with other departments as needed.
Diploma or Bachelor’s degree in Business Administration, Management, Procurement, or related field (or equivalent experience).
Prior experience 1 years –3 years in tender administration, procurement support, contract administration, or related office‑administrative role is preferred.
Strong proficiency in Microsoft Office tools (Word, Excel, PowerPoint).
Excellent organisational and administrative skills, with superb attention to detail and accuracy.
Good communication skills (written and verbal), able to liaise with various internal and external stakeholders.
Ability to handle multiple tasks / tenders concurrently and work under tight deadlines.
High sense of integrity, confidentiality, and professionalism when handling sensitive documents and contracts.
Able to follow up persistently and manage documentation and timelines effectively.
