Visit.org is seeking an experienced, responsible, and driven Freelance Event Specialist to manage logistics for an upcoming in-person event at a location near you. The ideal candidate will have an entrepreneurial spirit, a passion for live events, and a strong commitment to our mission, with the energy and discipline to deliver a memorable and impactful experience for our corporate clients.

We organize in-person and virtual events such as waterfront clean-ups, volunteering at soup kitchens, writing cards to seniors, caring for animals, building STEM kits for children, and more. Responsibilities:
Coordinate all event details, including shipping materials and staffing. Be the on-site hands-on coordinator for engaging, team-building, social impact activities.
Participate in virtual planning meetings with all stakeholders before each event.
Manage on-site activities: setup, coordination, teardown, site cleaning, problem-solving, and ensuring a high-quality experience.
Represent Visit.org, lead, and resolve issues during events.
Align roles with onsite teams: event hosts, nonprofits, venues, staff, and partners.
Oversee check-in, greet guests warmly, and manage participant flow.
Address issues like missing supplies, late staff, or tech problems.
Escalate concerns to the Events Team as needed and keep them updated with photos, videos, and progress reports.
Assist with cleanup and packing materials post-event, including shipping back to the distribution center.
Qualifications:
Fluent in English with excellent communication skills.
Based in Kuala Lumpur, Malaysia.
Flexible schedule to work on a per-event basis, including nights and weekends.
Experience in large-scale and intimate executive events.
Proven track record of executing high-level events, enhancing content and customer experience.
Resourceful, calm under pressure, solutions-oriented in ambiguous situations.
Quick thinker with backup plans and problem-solving skills.
Organized, detail-oriented self-starter who enjoys building customer relationships.
Experience with group facilitation and managing group dynamics.
Able to work flexible hours, including nights and weekends.
Willing to travel within the local region.
Strong interpersonal and customer service skills, especially in fast-paced environments.
Comfortable with diverse tasks and multitasking.
Comfortable engaging with large crowds.
Physical Demands:
Lift, slide, and carry up to 30 lbs.
Stand for extended periods.
