As a Factory Production Manager, you will be responsible for processes including, but not limited to the collection, receiving, sorting, mending / repairing, washing, drying, folding, packing, order make-up, loading, distributing and delivering of all products processed and related processes. Responsible for part of the total operations of the processing plant. (Based in Phoenix)
Quality Management System
- Ensure that a document control procedure is adopted to approve, review and update all changes to critical documents within the scope of the QMS
- Ensure that records are established and maintained to provide evidence that the QMS is being followed and that there is a system in place for the identification, storage, protection, retrieval, retention time and disposition of such records
- Ensure that the performance of the QMS is reviewed at planned intervals to ensure its continuing suitability, adequacy and effectiveness. This review means assessing opportunities for improvement and the need for change to the QMS
- Ensuring compliance with national and international standards and applicable legislation
- Ensuring that Quality Objectives are set by top management for measuring the performance of the QMS and these are regularly reviewed
- Ensure that all staff is inducted into the requirements of the QMS related to their own roles and responsibilities and to provide training as necessary
- Ensure that all suppliers (service providers) used by the organization are selected, evaluated and re-evaluated, including supplier audits in certain cases, and that records of these assessments are maintained
- Ensure that top management undertakes periodic but regular assessments of customer satisfaction and that consequent improvements are identified and implemented
- Ensure that an internal audit program is adopted to verify that the QMS conforms to planned arrangements. Ensure that appropriate action is taken when this is not the case
- Analyse data on the effectiveness of the QMS and evaluate where continual improvements of the QMS can be made. This shall include data generated as a result of monitoring and measurement and from other relevant resources
- Co-ordinate continual improvements of the QMS, ensuring that evidence of corrective and preventive actions taken are recorded and reviewed.
Production Management
- Production schedules are compiled, communicated and distributed in time
- Production schedules makes provision for optimal allocation of processing different products throughout the production processes
- Deviations from production schedules are identified and dealt with pro-actively
Production Performance
- Production targets per area / machine is set, measured and monitored hourly / daily and corrective action is taken upon deviations from set performance requirements
- Deviations from set production targets are investigated and the root cause for the deviation is addressed
- Production and related efficiencies are measured and monitored hourly / daily and corrective action is taken upon deviations from set performance requirements
- Raw materials utilization measured and monitored hourly / daily and corrective action is taken upon deviations (water, chemicals, coal efficiencies, steam, etc.)
Staff
- Staff performance and conduct is monitored and disciplinary steps are taken as and when required against employees who misconduct themselves or who are under performing
- Grievances when raised are dealt with effectively within a reasonable time frame
- Labor is planned, allocated and applied in such a manner as to minimize the necessity of casual labour, fixed term contract labor and overtime
- Training needs of staff are identified and high potential candidates are identified and developed
- Regular communication with staff is done regularly to discuss targets, deviations, performance, customer requirements, customer complaints, etc.
Quality Control & Legislative Compliance
- All customer complaints, deviations from quality specifications, rewashes, shortages, repairs are recorded, corrected, investigated and preventative measures are implemented
- Ensure that the correct products are processed in the correct manner and delivered to the correct customers at the correct time at the correct quality in full
- Ensure that staff and facilities and other requirements as per the Occupational Health and Safety act 85 of 1993 is adhered to
- Ensure that all the requirements as per the Basic Conditions of Employment Act 75 of 1997 is adhered to
- Ensure that the requirements as per the Skills development Act 97 of 1998, Skills development levies act 9 of 1999 and the employment Equity act 55 of 1998 is adhered to
- Ensure that all the procedures and processes as contained in the company’s policies and procedures are followed and adhered to
- Ensure that vehicles and drivers comply with and adhere to all relevant legislation relating to the requirements as per applicable legislation
Logistics
- Ensure that all collection and delivery routes are optimally planned to ensure cost effective collection and delivery of products to customers
- Ensure that the correct products are delivered to the correct customers at the correct time in full cost effectively
- Labor is planned, allocated and applied in such a manner as to minimize the necessity of casual labour, fixed term contract labor and overtime
- Ensure trucks and truck drivers comply with legislative requirements e.g. road worthy certificates, PDP’s, services on trucks, etc.
- Manage administrative processes relating to the collection and delivery of garments, flatwork, trolleys, bags, hangers, etc
- Facilitate the resolution of customer complaints received by drivers by handing it to the correct people for investigation and resolutions
- Ensure all checks are done on a daily, weekly and monthly basis and ensure that all relevant checklists are completed and handed in on a daily, weekly and monthly basis
- Compile production and related processes budgets
- Implement systems / processes to control expenditure and comply with financial control systems
- Monitor budgets and identify deviations, investigate deviations from budget and deal with deviations pro-actively
- Effectively manage all budgets and expenditure and ensure adherence to planned and approved financial budgets
Experience, Education & Quality
- Essential requirements : Minimum of Matric / Grade 12 / NQF level#4 or equivalent
- Diploma in production / hospitality management on NQF level #5 or equivalent is preferable
- Desirable Requirements : 3 years’ experience production management in a customer service-related industry is preferable
Administration
- Ensure that all documents relating to the all facets of all the production processes under your control are completed, maintained, controlled and administratively managed correctly
- Ensure that all documents relating to the management of the staff under your control are completed, maintained, controlled and administratively managed correctly
- Ensure that all documents relating to the management of the customer relationships of customers to whom you deliver as service to are completed, maintained, controlled and administratively managed correctly
- Ensure that all documents relating to the all facets of all the logistics processes under your control are completed, maintained, controlled and administratively managed correctly
- Ensure that all data relating to the all facets of all the processes under your control are correctly captured / recorded on the relevant documents / systems
- Compile, distribute and submit all relevant reports as required by management
