We are seeking a highly organized and proactive Administrative Assistant to support the day-to-day operations of our office. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. From scheduling meetings and managing calendars to preparing reports and maintaining files, your role will be vital in keeping the workplace running smoothly.
Key Responsibilities:
- Answer and direct phone calls in a professional manner
- Organize and schedule meetings and appointments
- Maintain contact lists and employee records
- Produce and distribute correspondence, memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system (physical and digital)
- Order office supplies and research new deals and suppliers
- Book travel arrangements and manage travel expenses
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Handle administrative requests and queries from senior managers
Requirements and Skills:
- Proven experience as an administrative assistant, virtual assistant, or office admin assistant
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- High school diploma required; additional qualifications as an Administrative Assistant or Secretary are a plus
