· The PM Supervisor is responsible for the overall quality of operations in line with company business processes of the full PM portfolio with a primary objective of increasing operational efficiencies and data accuracy under the supervision of the Property Manager.
· Provide initial and follow-up training to new and existing Property Management team members to ensure understanding of policies, workflows, and software applications, under the supervision of the PM manager
· Provides support and review of PM Management and Client Reports to help ensure timely, accurate, and compete reporting. Review system generated and/or staff created reports for completeness and accuracy. Coordinate with Finance team and Client representatives as needed to ensure satisfaction with information provided.
· Perform analysis of operational and system data to provide Property Management division clear understanding of trends and financial performance. Provide insight and recommendations to improve work flows and operational and financial outcomes.
Overall Quality of Operations
· Know, understand, and be able to effectively communicate business processes and software operation and methodology to new or experienced staff.
· Ability to review processes and procedures to suggest improvements or changes to achieve higher efficiencies and / or more accurate and consistent results with regard to operations.
· Ability to review software applications and system capabilities to suggest improvement or changes to achieve higher efficiencies and / or more accurate and consistent results.
· Communicate recommendations effectively across business units to garner buy-in and commitment to existing or modified processes and procedures.
· Monitor activity, both live and via software activity and reporting to determine quality and consistency of work performed by PM staff. Address failures or weak performance with team members and PM Management staff.
· Provide input to PM Manager with regard to staff training needs, performance challenges and / or failure to improve.
· Other duties as assigned.
Initial and Follow-Up Training
· Create and/or develop training materials and guides for functions in software systems utilized by the Property Management team (to be utilized in conjunction with PM policies, procedures, and workflows) to be used for initial and follow-up training of PM staff.
· Conduct one-on-one and group trainings as needed to ensure quality of work across the PM portfolio is accurate, timely, and consistent under the supervision of the PM Manager.
· Create tools and methodology to determine understanding, skills and knowledge retention of PM staff.
· Provide PM manager with results of training and recommendations to improve performance and efficiency.
· Other duties as assigned.
Client, Customer, and Internal Reporting
· Develop a clear understanding of Client / customer reporting requirements including information, format, reporting deadlines, etc. Assist in the creation and / or modifications of reports to meet these requirements.
· Ensure reporting requirements are understood by PM team and management.
· Review reports / reporting data by PM team and reviewed by Managers to serve as final check of accuracy. Inaccurate reports should be returned for correction after final review with the PMmanager
