A specialist who is an expert in ensuring the CEO’s diary is managed in a highly efficient manner. Responsible for providing unwavering support whilst maintaining a positive attitude. Ensuring a high level of attention to detail and accuracy in all tasks, whilst maintaining confidentiality at all times.
You may be wondering, what would such a fantastic individual’s duties include?
- Providing professional and confidential administrative support.
- Diary management for CEO and general office administration.
- Providing support to the CEO by setting up meetings and coordinating all resources associated with them.
- Maintaining and setting up new templates for forms and other regularly used documentation.
- Providing logistical support to the CEO in executing his duties.
- Organising and booking seminars and conferences for CEO and staff, including bookings, expense requisitions, obtaining authorisation, follow-up, and sending to relevant stakeholders.
- Organising business and private travel arrangements.
- Communicating verbally and electronically with internal and external clients.
- Liaising with courier services for local and international deliveries, as well as internal driver/messenger on deliveries.
- Dealing with client queries and enquiries.
- General administration and any ad hoc duties or projects assigned from time to time.
- Event planning and management.
- Acting as a first point of contact, dealing with correspondence and phone calls.
- Creating PowerPoint presentations for the Group CEO.
- Reminding the manager/executive of important tasks and deadlines.
- Typing, compiling, and preparing reports, presentations, and correspondence.
- Managing databases and filing systems.
- Taking minutes during meetings.
- Preparing all documents and materials for committee and Board of Directors / Exco meetings (dates, attendee list, logistics, catering).
- Data capturing.

- A Secretarial Diploma or similar field.
- 3-4 years’ executive secretarial and/or administrative support experience.
- Highly computer literate with experience in Microsoft Office Suite (non-negotiable).
