Job description
Job Responsibility
- Responsible for managing the Top Management’s day-to-day administrative and operational matters.
- Making interview appointments, coordinating business schedules, and taking minutes of meetings.
- Develop and maintain a filing system.
- Handling personal and private/confidential matters for the Top Management and/or immediate family members of the TMs as instructed.
- Maintain the confidentiality of the company's information.
- Willing to take on more job responsibilities when needed arises.
- Organizing and managing business/meeting schedules, sending reminders, assessing priority of appointments, and relocation as necessary.
- Answering phones politely and professionally, and routing calls to the correct person or taking messages.
- Organizing travel itineraries, including visa (if required).
- Taking notes and writing minutes during meetings.
- Handling a wide range of confidential information or documents.
- Excellent skills in writing clear, concise, and grammatically correct English and Mandarin copy.
- Must be able to work independently with low supervision.
- Ability to handle multiple tasks, meet deadlines, and work in a fast-paced environment.
- Undertake ad-hoc assignments as and when required.
Job Requirements
- Candidate must possess at least a Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in Finance/Accountancy/Banking, Business Studies/Administration/Management, Marketing, Secretarial, Commerce or equivalent.
- Required skill(s): excellent supervisory skills, excellent organization skills, excellent written & interpersonal skills.
- Required language(s): Bahasa Malaysia, Chinese, English.
- At least 2 years of working experience in the related field is required for this position.
- Preferably, Executives specializing in Secretarial/Executive & Personal Assistant or equivalent.
- Full-time position(s) available.
- Able to undertake pressure in meeting deadlines and deal with relevant authorities in a professional manner.
- Able to multitask.
