About You
We are seeking a proactive and detail-oriented Office Manager to take full ownership of our office operations, facilities management, and day-to-day activities. This is a hands-on role where you will be responsible for creating and maintaining an inspiring, efficient, and collaborative office environment. The ideal candidate will have an eye for interior design and a passion for creating spaces that enhance productivity, creativity, and team engagement.
As the primary point of contact for all office-related matters, you will also manage vendor relationships, oversee security and cleaning services, and handle key facilities management tasks. Your goal will be to ensure a seamless office experience, from maintaining a well-organized, tidy workspace to helping foster a culture of collaboration and employee engagement.
You'll be responsible for:
- Overseeing the daily operations of the office, ensuring the environment runs smoothly including ordering office consumables, maintaining office supplies and a tidy working environment. Managing facilities-related tasks such as meter readings, building maintenance requests, and coordinating any necessary repairs or upgrades.
- Owning the office's interior design, layout, and space planning, ensuring it supports a functional, aesthetically pleasing, and collaborative work environment. Regularly assessing and improving the office layout to promote efficiency and creativity.
- Developing and maintaining strong working relationships with external suppliers, including security services, cleaning staff, and other vendors. Ensuring that services are being delivered on schedule and according to the agreed-upon standards.
- Serving as the primary liaison with the building's security team to ensure the safety and security of the office space. Oversee key access management, monitor security protocols, and ensure compliance with safety regulations.
- Contributing to employee engagement by supporting team-building initiatives, coordinating office events, and promoting a positive office culture. Ensuring that employees have access to a clean, well-maintained, and inspiring environment that fosters collaboration and well-being.
- Implementing office systems that enhance organization and streamline workflows. Managing office supplies, inventory, and equipment, ensuring that everything is stocked and in good working order.
- Maintaining a clean and safe working environment, in line with health and safety regulations. Work closely with the facilities team to ensure that workplace hygiene and safety standards are met.
- Acting as the first point of contact for office-related questions or concerns. Responding to inquiries related to office services, event coordination, maintenance issues, and any other ad-hoc requests from the team.
- Overseeing the regular collection of meter readings (e.g., energy, water), track usage, and report relevant data to ensure the office operates efficiently and within budget.
- Acting as the liaison for internal communications related to office operations, facilities, and employee engagement activities. Provide timely updates on office changes, event scheduling, and any disruptions to services (e.g., maintenance).
- Managing the office budget, ensuring expenses for facilities, supplies, and services are tracked and controlled. Work with the Head of People to allocate resources effectively and find cost-saving opportunities.
You'll need to have:
- 5+ years of experience in office management or facilities management, ideally in a fast-paced or start up environment.
- Proven experience in managing complex projects, including moving offices, from planning to execution, ensuring minimal disruption to daily operations, budget adherence, and timely delivery.
- Strong eye for design with the ability to create functional, collaborative, and aesthetically pleasing office spaces.
- Proven experience working with external vendors, including managing relationships with security, cleaning, and facilities services.
- Exceptional organisational skills with the ability to prioritise and manage multiple responsibilities effectively.
- A keen eye for detail in managing office systems, spaces, and day-to-day operations.
- Excellent communication skills, both verbal and written. Comfortable interacting with employees at all levels and external service providers.
- Ability to think critically and address operational challenges as they arise. Proactive in identifying potential issues and offering solutions.
- Knowledge of health and safety regulations as they apply to office environments, including maintaining a safe and compliant workplace.
