Office and Facilities Assistant

Location: London (Hybrid) | Practice Area: Corporate Services | Department: Facilities | Type: 12 Month Fixed Term Contract

The Role

We are looking for a proactive and professional Office and Facilities Assistant to support the smooth day-to-day operation of our London office. Based at reception, this role combines front-of-house responsibilities with facilities, events, AV and general operational support.

Working closely with the Receptionist and Facilities team, you will play an important part in creating a welcoming, efficient and well-organised workplace. The role also provides full operational cover for the Facilities Assistant during periods of absence.

What You’ll Do
  • Support the daily operation of reception, welcoming visitors and colleagues and managing sign-in processes in line with site protocols
  • Provide hands-on support to the Facilities team, including locker management, key holding, office logistics and health and safety processes
  • Support internal and client-facing meetings and events, including room bookings, setup, AV support and on-the-day coordination
  • Manage incoming and outgoing post, courier bookings and office supplies to maintain appropriate stock levels
  • Provide administrative and operational support across the office, including attendance reporting and inbox management
What We’re Looking For
  • Experience in a reception, front-of-house, office support or administrative role
  • Strong organisational skills with the ability to manage multiple tasks effectively
  • Clear, confident and professional communication skills
  • Comfortable working with colleagues at all levels of the organisation
  • Intermediate proficiency in Microsoft Office, including Outlook, Word and Excel

  • Experience supporting meetings, events or facilities-related activities
  • Exposure to health and safety processes or facilities compliance activities
  • Fire Marshal and or First Aid certification, or willingness to complete training
