Within Mercedes-Benz Mobility, the MBM Operations & Credit Operations function is responsible for the day-to-day run of financing/leasing business in the European markets and at Hub Europe Madrid, as well as leading the transformation activities to further improve customer experience and efficiency. The Director for Operations Europe & Hub is located in Madrid at Mercedes-Benz Group Services Madrid, together with the related teams.
The role - The main task of the position is to ensure proper management and coordination of the agenda of the Director MBM Operations Europe, organizing meetings, events, travel or other attendance forums, as well as preparing the documents and information necessary to ensure their correct functioning.
Main accountabilities
Organization and coordination:
- Organization and coordination of meetings and videoconferences: internal and external meetings and with other business units within the MB Group, e.g. markets and HQ.
- Proactively manage the calendar to ensure effective use of time and meeting cadence.
- Follow-up of all issues directly related to the responsibility of the Operations Director.
- Travel agent for the Management. Coordination of trips and making the corresponding request. Issue tickets, bookings, contacting those involved to organize the agenda, solve any incidents that may occur during the trip, etc.
- Assistance to other Senior Managers, if required, in order to coordinate other specific topics.
- Act as a facilitator for the Operations Director in the daily workload and the relationship with the staff.
- Responsibility to file documents electronically in a systematic way.
Administrative accountabilities:
- Reports creation, letters, emails, presentations and various administrative tasks.
- Expense reports and reimbursement of travel expenses.
- Purchase of office supplies for General Management.
- Assistance to Management Meetings and drafting of minutes.
- Management and renovation of parking spaces.
- Review and management of Operations Directors emails when necessary, as well as sending internal communications on his behalf.
- Process of purchasing and invoicing of goods and services for General Management and some General Services of the company. Control the invoicing and carry out the monthly PRs.
Executive business support
- Prepare the Director Operations for relevant meetings by collecting information, reviewing presentations, preparing presentations or aligning with relevant stakeholders upfront.
- Prepare relevant presentations in PowerPoint and keep them updated.
Internal Communication:
- Support for Internal Communication and act as a backup for the area by sending newsletters, communications, supporting Staff Meeting events, etc.
- Support for the organization of internal events.
- Coordinate and support Corporate Social Responsibility activities. Actions to carry out, donations, day of caring. Organization and implementation of all these activities in close cooperation with other business areas.
Qualification
Education:
Certificate of Higher Education in Business Administration or related studies.
Language:
Fluent English is necessary, Spanish language and/or German language skills are of advantage; additional European languages are a plus.
Experience:
At least 5 years’ experience performing similar functions by assisting management positions. Valuable experience in the financial and/or automotive sector.
