Nous cherchons un∙e adjoint∙e administratif∙ve & responsable du bureau de Montréal .

TA MISSION

Relevant de la Vice-présidente, ressources humaines, tu seras chargée d’accomplir un large éventail de tâches administratives pour les membres de la direction et veilleras à la gestion et l’organisation du bureau de Montréal, situé dans Griffintown.

Responsibilities / Responsabilités (Français)
  • Être le point de contact principal avec les fournisseurs externes (locateur, entretien, sécurité, etc.)
  • Assurer le bon fonctionnement quotidien du bureau : espaces, salles de réunion, équipements, commandes de repas, envois de courriers, et services logistiques
  • Offrir un soutien administratif à l’équipe de direction : prise de notes, préparation de documents, présentations et analyses
  • Traiter les réquisitions et demandes d’achats, ainsi que les comptes de dépenses de la direction
  • Veiller aux achats de fournitures de bureau (matériel, équipement, mobilier)
  • Coordonner les voyages nationaux et internationaux, y compris les réservations de vols, d’hôtels et de locations de voitures pour certains membres de la direction et du conseil d’administration
  • Donner vie aux projets spéciaux et événements internes (logistique, repas, envois, etc.)
Responsibilities / Responsabilités (English)
  • Act as the primary point of contact with external suppliers (property owner, housekeeping service, security, etc.)
  • Ensure the smooth day-to-day operations of the office: workspace management, meeting rooms, equipment, meal orders, sending out packages, and logistics services
  • Provide administrative support to the management team: note-taking, preparation of documents, presentations and analyses
  • Process purchase requisitions and expense reports of the executive team
  • Purchase office supplies, equipment, and furniture as required
  • Coordinate domestic and international travel, including flight, hotel and car rental reservations for some members of the executive team and the Board of Directors
  • Support the organization of special projects and internal events (logistics, meals, shipments, etc.)
YOUR SKILLS PROFILE / TON PROFIL DE COMPÉTENCES
  • Have a vocational or CEGEP credential in a relevant field (administration or secretarial studies)
  • Minimum of 5 years of experience in a similar role in a professional environment
  • Independence and ability to work with little supervision
  • Very good knowledge of the MS Office Suite
  • Excellent communication skills in French and English (spoken and written) and an ability to write formal letters
