Operations and Administration Assistant

Location: Bristol
Salary: £26,400 per year (plus Inner London Weighting of £3,483.94, if eligible)
Length of contract: Permanent
Hours per week: 37

Who are Women’s Aid?

Women’s Aid is the national charity working to end domestic abuse against women and children. We are a federation of just under 180 organisations which provide over 300 local lifesaving services to women and children across England. For 50 years we have campaigned on behalf of our members and survivors to shape policy and practice, and to raise awareness of domestic abuse.

Our support services, which include our Live Chat, the Survivors’ Forum, the No Woman Turned Away Project, the Survivor’s Handbook, Love Respect (our dedicated website for young people), the national Women’s Aid Directory and our advocacy projects, help thousands of women and children every year.

Purpose of the Operations and Administration Assistant

The Operations and Administration Assistant will work flexibly to support a range of charity functions, specifically office management and administration within our fundraising team. The post holder will hold a varied range of responsibilities and will be crucial in keeping Women’s Aid running efficiently.

This role will provide administrative and operational support for the organisation, including maintaining Health and Safety arrangements in the office, managing incoming email queries to our main info@ email address, managing equipment provisions for new starters and leavers and keeping the office equipment running smoothly.

This role will support the Fundraising team, providing administrative and operational support, including maintaining the fundraising CRM.

Key duties and responsibilities of the Operations and Administration Assistant
  • Manage the main Women’s Aid email inbox, responding to enquiries and passing emails to subject experts to answer where needed.
  • Opening incoming post and passing information to the relevant people.
  • Organise and ship new starter’s equipment.
  • Organise the return of leavers’ equipment.
  • Updating central asset register for WA equipment.
  • Handling and dispatching material requests from WA website.
  • Supporting upkeep and management of the office space and consumable resources.
  • Provide cross-department support for postage & courier needs. Liaising with Franking machine suppliers.
  • Support the Operations Manager with day-to-day Health and Safety tasks within the office
  • Monitor the fundraising inbox and respond to routine supporter enquiries, escalating sensitive or high-profile contacts to senior fundraising staff.
  • Provide administrative support to the regular giving programme, including preparing communications and updates as directed by senior staff.
  • Provide additional administrative support during peak periods such as the winter appeal and International Women’s Day.
  • Assist the team with basic event administration (e.g. compiling materials, managing lists, posting items), as required.
  • Provide friendly, administrative support to community fundraisers (e.g. sending information packs, answering basic enquiries, updating records).
  • Support with the administration of the online giving platforms (e.g. JustGiving, GoFundMe), including routine checks and updating information.
  • Pack and post fundraising merchandise such as supporter packs, running vests and t-shirts as needed.
What we are looking for in our Operations and Administration Assistant:

We’re looking for someone with great people skills, as well as drive, initiative and determination. You’ll be diligent with details and accuracy and have a dynamic approach to your work. You will be a natural problem solver, always looking to improve upon current process to improve on efficiency. The post holder will develop and maintain both internal and external contacts and will need a thorough understanding of Women’s Aid work.
