The Role

We are seeking an experienced and highly organised Executive Assistant to provide dedicated support to the Chief Executive Officer of a Top 100 UK law firm and its associated companies.

This pivotal role requires someone who thrives in a fast-paced environment and demonstrates exceptional attention to detail, discretion, and initiative. The position involves a wide range of executive support duties, including managing mergers and acquisitions administration, coordinating board meetings, preparing detailed travel itineraries, and handling digital dictation.

This is a full-time position based in our South Manchester office.

Responsibilities
  • Act as a gatekeeper to the CEO, managing all correspondence and providing comprehensive administrative support.
  • Liaise with a range of stakeholders including senior leaders, employees, contractors, and external partners.
  • Manage digital dictation, drafting and sending correspondence, memos, and formal letters with accuracy and professionalism.
  • Ability to deliver results under pressure.
  • Organise and maintain complex diaries, schedule meetings, and coordinate domestic and international travel arrangements.
  • Conduct thorough research and present findings clearly and professionally.
  • Demonstrate advanced proficiency in MS Office, particularly in Word (tracked changes, version control) for detailed merger and acquisition documents.
  • Support elements of the CEO’s personal commitments as required.
  • Plan and coordinate company-wide social events.
  • Occasionally work beyond standard hours to meet critical deadlines or complete urgent tasks.
Person Specification

Essential criteria

  • Excellent written and verbal communication skills.
  • Fast and accurate typing speed (minimum 60wpm).
  • Strong interpersonal abilities with confidence in engaging senior stakeholders and contractors.
  • Advanced IT proficiency, particularly in Word, Excel, and PowerPoint.
  • Proactive, self-motivated, and able to take ownership of tasks.
  • Track record of acute accuracy and attention to detail.
  • Ability to prioritise effectively, meet tight deadlines, and perform under pressure.
  • Demonstrated administrative and organisational excellence.
  • Flexible, adaptable, and discreet when dealing with confidential information.
  • Previous PA or EA experience supporting a CEO or senior executive.
  • Ability to work on-site Monday–Thursday (Friday can be office-based or remote).

Desirable criteria

  • Experience with digital dictation.
  • Exposure to case management systems.
  • Previous legal secretarial experience is advantageous.
  • Strong academic background.
Salary & Hours
  • Salary dependent on experience.
  • Our standard working hours are 8:30am to 5:30pm Monday-Thursday and 8:30am to 5pm Friday.
