We are seeking an Executive & Financial Assistant to work directly with their CEO and leadership team. In this hands‑on, boutique environment, you will play a pivotal role by delivering tailored executive and financial support that ensures the smooth running of both daily operations and longer‑term initiatives.

Responsibilities
  • Oversee the CEO’s calendar, appointments, and meetings, anticipating needs and preferences.
  • Manage executive correspondence with care and attention to detail, maintaining confidentiality at all times.
  • Coordinate and monitor special projects, keeping progress on track and stakeholders informed.
  • Conduct research and compile data for reports, presentations, or meetings.
  • Organize digital files and business records for easy and secure access.
  • Assist with occasional personal and household matters for the CEO, trusting in your discretion and professionalism.
  • Record and reconcile transactions using QuickBooks Online with consistency and accuracy.
  • Handle all aspects of invoicing, accounts receivable, and accounts payable through BigTime.
  • Process and manage time entries in BigTime.
  • Conduct monthly financial reconciliations, prepare vendor and client billings, payments, and daily deposits.
  • Produce financial reports, track forecasts, and ensure compliance with US GAAP standards.
  • Support budgeting, expense tracking, and periodic financial monitoring.
Qualifications, Skills, and Key Competencies
  • At least three years supporting US‑based organizations in executive assistant or bookkeeping roles.
  • Bachelor’s degree in Accounting, Finance, Business Administration, or similar field preferred.
  • Expertise with QuickBooks Online, BigTime, and Microsoft Office Suite.
  • Outstanding communication skills in English, both written and verbal.
  • Organized, dependable, and able to balance multiple priorities with ease.
  • Discreet, trustworthy, and comfortable working with confidential information.
  • Experience in civil or environmental engineering is a plus, though not required.
  • Strong, reliable internet connection and remote work setup.
