This position provides administrative support for the Chief of Staff of the President of International Card Services and the broader Executive Office. The team is a dynamic, fast-paced environment and therefore the day-to-day responsibilities require seamless collaboration, across a wide range of stakeholders both inside and outside of American Express. The ideal candidate must have experience handling a wide range of administrative related tasks and be able to work independently and confidently under pressure.
This Executive Office is a busy office supporting 28 markets globally and the role will also be responsible for coordinating travel logistics and partnering with the rest of the office on key event logistics as and when required. Demonstrated experience in working with senior leaders as well as a proven ability to build strong relationships, ability to manage and operate in a dynamic environment, operate effectively and efficiently under pressure and resourcefulness will be critical to success in this position.
Day to day responsibilities include, but are not limited to:
- Responsible for calendar management on a daily, weekly and monthly basis for the Chief of Staff
- Managing general follow-ups and generating reminders to effectively meet deadlines and commitments
- Management of IDs, Access, Payroll, monthly expense reports in line with policy
- Manage logistics of meeting administration (in-person, telepresence and WebEx)
- Procuring laptops, office supplies, office space, etc. and managing the procurement process including researching and approving invoices, and researching standard accounting errors
- Work closely with the other executive assistants on office operations and calendar management
- Take on ad-hoc tasks and projects as required to support the senior executive assistant to the President of International Card Services (including providing cover during holiday)
- Maintain organizational charts and department Distribution List
- Manage domestic and foreign travel arrangements including air, hotel, car transfers and meeting agendas
- Ensuring timely preparation and processing of expense reports and invoices; review expenses submitted to leader for approval and highlight any out of policy spend
- Organize internal and external business meetings, making all necessary arrangements including sending invites, reserving rooms, conference call and telepresence setup, printing copies and arranging catering
- Managing office supplies, equipment and other supply requests
- Coordinate facilities management responsibilities
- Follow up with Executive Office team on training, and other requirements and deadlines
Minimum Qualifications:
- Ideal candidate should have significant previous experience as an Executive Assistant and familiar with office management and technologies
- Experience exercising discretion and confidentiality with sensitive information
- Motivated, proactive team player with strong initiative, organizational, administrative and interpersonal skills
- Strong attention to detail with emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing
- Must work well under pressure without losing composure and professionalism
- Excellent verbal and written communication skills (via phone, email and in-person)
- High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems – phone functions, MS Outlook, Ariba, Concur, Payroll and myHR
- Excellent time management and organizational skills with a strong focus on accuracy and attention to detail, ability to work flexibly, sometimes under pressure
- Proven ability to manage multiple priorities, work independently, work within deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks
- Ability to interact effectively and diplomatically with executives and Executive Assistants across the organization
