This is a fantastic opportunity for an Admin Assistant to join our major, global pharmaceutical client on their latest new-build project based in Ohio. This is a large-scale greenfield capital project investing more than $1bn.

1. Act as the primary liaison with staffing agencies and suppliers to coordinate contract personnel onboarding.
2. Provide mentorship and training for new hires, ensuring smooth integration into project workflows.
3. Coordinate and escort non-company personnel on-site.
4. Schedule and manage site-specific orientations for new personnel.
5. Provide site and IT support, including submitting ServiceNow requests for laptops, software, and other technical needs.
6. Assist with badging, security clearances, and compliance documentation.
7. Develop, maintain, and update the project organizational chart and project directory.
8. Reserve workspaces, seats, and desks for new team members.
9. Take and distribute meeting minutes, ensuring accurate documentation of key decisions.
10. Schedule and coordinate meetings, conferences, and conference room reservations.
11. Arrange travel logistics and process expense reports for project personnel.
12. Order office supplies and coordinate catering for meetings and events.

1. Strong leadership, mentorship, and training skills, with experience guiding new team members.
2. Excellent organizational and multitasking abilities, with the ability to prioritize tasks effectively.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
4. Strong written and verbal communication skills with the ability to interact with all levels of stakeholders.
5. Attention to detail and ability to maintain confidentiality in a highly regulated environment.
6. Ability to work independently and within a team while taking initiative to improve processes.
7. Familiarity with construction project workflows, terminology, and administrative processes is preferred.
8. Experience supporting large-scale capital projects in a regulated industry (pharmaceutical, biotech, engineering, or construction) is a plus.
