Executive Administrator at Masco Canada (On-Site – St. Thomas, ON Office)

We are looking for an Executive Administrator to join our Human Resources team. What You Will Do:

As an Executive Administrator, you will play a crucial role in ensuring the smooth operation of office functions while providing administrative support to the Human Resources team and on-site executive leadership. Acting as the primary point of contact for employees, visitors, and external partners, you will create a welcoming and efficient workplace environment.

Your responsibilities will include:

Office Administration:
  1. Serve as the first point of contact for employees and visitors, ensuring a professional and welcoming environment.
  2. Manage office logistics, including supplies, meeting room coordination, and office procedures.
  3. Support planning and execution of company events, such as town halls and engagement activities.
  4. Assist with office seating arrangements and site visits, including coordination of PPE and plant tours.
Human Resources Administration:
  1. Provide administrative support for HR-related activities, including coordinating interviews and preparing onboarding materials.
  2. Maintain internal communication platforms, such as digital signage and bulletin boards.
  3. Oversee the HR inbox to ensure timely responses and effective coordination.
Executive Support:
  1. Assist executive leaders with scheduling, travel arrangements, and expense management.
  2. Coordinate materials and logistics for leadership meetings and company events.
What will you bring:
  1. A high school diploma is required; post-secondary education is an asset.
  2. A successful track record in a similar role within office administration, executive support, or human resources coordination is an asset.
  3. Strong stakeholder management skills with the ability to engage effectively with employees, leadership, and external partners.
  4. Exceptional organizational and project management skills to handle multiple priorities efficiently.
  5. Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and the ability to learn new systems quickly.
  6. Willingness to travel occasionally to different office locations, including Mississauga, St. Thomas, and Masco Head Office.
  7. Ability to adhere to company policies and safety protocols, including PPE requirements when in facility areas.
