Job Summary:
The Administrative Assistant will be the face of the office, managing front desk duties while supporting key administrative functions, including travel coordination, PRO tasks, and HR documentation. This role requires a proactive, organized individual who thrives in a dynamic and fast-paced environment.
Key Responsibilities:
- Manage the front desk: welcome visitors, handle incoming calls, and respond to general inquiries.
- Provide administrative support to the executive and operations teams.
- Book travel and accommodations for team members, including visa coordination where necessary.
- Assist in drafting, formatting, and managing employment contracts and related HR documents.
- Handle internal filing systems and maintain accurate records.
- Schedule and coordinate meetings, appointments, and conference calls.
- Support onboarding and offboarding processes for employees.
- Assist with PRO-related tasks such as visa applications, license renewals, and coordination with government entities.
- Communicate effectively with vendors, clients, and team members.
- Ensure the office environment is organized and well-maintained.
Requirements:
- Prior experience in administrative, front desk, or office support roles.
- Must have PRO experience
- Familiarity with travel booking platforms and HR administrative processes.
- Strong communication and interpersonal skills.
- Excellent attention to detail and time management.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Must be able to work onsite during regular office hours.
- Basic understanding of UAE labor laws and government procedures (or willingness to learn).
Preferred Qualifications:
- Experience assisting with PRO and HR tasks in the UAE. Labor law knowledge.
- Previous exposure to agency or fast-paced work environments.
- Knowledge of project management and document tracking tools.
