Job Summary

Russotti Gestioni Hotels S.p.a. is looking for an enthusiastic Event Manager with a "can-do" attitude to manage our hotel Milan Marriott Hotel event team, with the goal of hosting events that enhance our organization's image, improve client loyalty, and enhance our brand-to-client experience. The event manager will be tasked with managing all aspects of conference and events operations to deliver an excellent guest experience.

Your creativity, organizational skills, and vision will assist our organization in amplifying brand visibility, enhancing client and employee relations, and improve our organization's growth through events that effectively communicate business strategy and brand personality.

The ideal candidate for this role should demonstrate exceptional organizational abilities, superb interpersonal skills, multi-tasking skills, and excellent time-management. The noteworthy Event Manager should reinforce client-to-business relations, improve the organization's image, and effectively deliver on event objectives.

Responsibilities:

Managing Event Management and Budgets

  1. Works with the management team to develop and implement the business plan and long-term strategies for event operations.
  2. Establishes and monitors measurable goals for the department.
  3. Oversees event planning team (BEO/Resume writers).
  4. Researches and analyses new products, pricing and services of competition.
  5. Works with direct reports to review scheduled events and troubleshoot potential challenges/conflicts.
  6. Ensures the property is apprised of all groups that will impact property operations.
  7. Champions all standards, policies and procedures in the Event departments.
  8. Oversees the execution of event logistics for all events.
  9. Oversees the administrative processes associated with the event phase of a function and the associated transitions between all event phases as they relate to the service delivery team.
  10. Negotiate with clients to achieve both maximum revenue/profit potential and fulfilment of contractual responsibilities while satisfying client needs.
  11. Finalize the requirements of confirmed ensuring effective communication both written (BEO, Daily Reports) and personal contact with all departments for the success of the event.
  12. Maintain an active trace/follow-up system. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.
  13. Keep Opera constantly updated with the latest client’s information.
  14. Closely cooperate with the Reactive Sales Team in charge of the group/event till the contract phase and ensure a smooth handover with the client.
  15. Evaluate guest satisfaction levels with a focus on continuous improvement.
  16. Ensures function space and corresponding heart of the house areas are cleaned and maintained.
  17. Ensures furniture and equipment is maintained and inventory levels are kept in accordance to corporate guidelines.
  18. Communicates and executes departmental and property emergency procedures and ensures staff are trained in safety procedures.
  19. Participates in MVP audits and level certification for all technicians.
  20. Ensures employees maintain required certification.
  21. Assists with implementation and execution of all event related corporate initiatives and promotions.


Managing Profitability

  1. Ensures department is working within budget and adjusts expenditures according to revenues.
  2. Ensures brand and regional business initiatives are implemented and communicates follow-up actions to team as necessary.
  3. Maintains awareness of current trends in event management and integrates into the operation in a timely manner.
  4. Reviews effectiveness of event operations annually and makes appropriate adjustments.
  5. Encourages calculated risk-taking to generate incremental revenue and deliver excellent guest service.
  6. Works directly with major groups when high profile and financial impact will be significant (limited instances).
  7. Develops working relationships with outside vendors and establishes prices and service agreements to enhance the event experience and to increase additional revenue opportunities for the property.


Ensuring Exceptional Customer Service

  1. Consult with customers in order to determine objectives and requirements for events such as meetings, conferences, and conventions.
  2. Displays leadership in guest hospitality, exemplifies excellent customer service and creates a positive atmosphere for guest relations.
  3. Maintains customer satisfaction to ensure retention and growth of business through referrals and repeat events.


Leading Event Management Teams

  1. Leads execution of activities in Events Department to support the Event Management strategy.
  2. Leads event management/operations meetings.
  3. Works with culinary team to ensure compliance to food handling and sanitation standards.
  4. Works with Human Resources to ensure compliance with all applicable laws and regulations.
  5. Ensures that regular, ongoing communication is happening in all areas of event operations.


Maintaining Relationships with Property Stakeholders

  1. Communicates effectively with property departments outside of Event Operations.
  2. Maintains a strong working relationship with guests/clients, vendors and competitors.


Conducting Human Resources Activities

  1. Reviews staffing levels to ensure that guest service and operational needs are met.
  2. Works with direct reports to review scheduled events and troubleshoot potential challenges/conflicts.
  3. Attends pre-event meetings to understand group needs, set appropriate expectations and gather critical information to communicate to Event Operations Team.
  4. Ensures disciplinary procedures and documentation are completed according to Standard Operating Procedures and Local Standard Operating Procedures (SOPs and LSOPs) and support the Peer Review Process.


Skill & Knowledge

  1. Degree in public relations, communications, or hospitality.
  2. Min. 4 years’ experience in the event management, food and beverage, sales and marketing, or related professional area.
  3. Communication and marketing skills.
  4. Project management experience.
  5. Good leadership skills.
  6. Highly Organized.
  7. Multi-tasker.
  8. Good time management.
  9. Proficiency in various event software.
  10. Expert interpersonal skills.
  11. Risk management experience.
  12. Knowledge of the office package and the MICROS and OPERA IT systems is required.
