Get to Know the Role

Grab is looking for an experienced Estate Office & Operations Manager to join our team. You will manage and optimize Grab's physical workspaces for all Grabbers and also our partners. The scope includes leasing matters, routine maintenance, and the coordination of support services and resources. This role is crucial in ensuring a conducive and efficient workspace for the business. Reporting to the Head level, you will work onsite in our BSD Office. We may ask you for occasional travel to different facility locations across Indonesia.

The Critical Tasks You Will Perform

Facility And Asset Management

1. Monitor estate data, including budgets and utility reports.
2. Oversee security and cleaning services at multiple locations.
3. Conduct regular inventory checks and manage salvage operations.
4. Ensure accurate reporting of maintenance activities.
5. Perform Facilities Inspections and Planned-Preventative Maintenance.
6. Implement QHSE and ISO standards.
7. Collaborate with Fleet Operations, Procurement, and Corporate Security for smooth operations.

Financial Management

1. Review monthly OPEX and CAPEX reports.
2. Manage monthly TOR based on OPEX and CAPEX budgets.
3. Handle monthly invoices and ensure budget alignment with forecasts.
4. Monitor SOP implementation and governance.

Operational Excellence

1. Ensure SOP implementation and review effectiveness.
2. Conduct regular 5S checks and provide refreshment sessions for departments with findings.
3. Review tenant, signage, and communications pool.

Qualifications

What Essential Skills You Will Need

1. Bachelor's degree in Business Administration, Facilities Management, Building Management, Real Estate Management, or a related field.
2. Minimum 5 years of experience in estate or facilities management.
3. Experience in building and maintaining car pools.
4. Ability to manage new projects and improvements in Real Estate and Facilities Management.
5. Proficient in English.
6. Quick response, proactive, and sensitive to problems.
7. Financial knowledge with budget management and reporting experience.
8. Excellent project management skills with large-scale project experience.
9. Proficient in project management tools and software.
10. Experience managing facilities across multiple locations.
11. Knowledge of 5S methodology and its implementation.
12. Familiar with Gantt charts for project management.
