Overview

The clerical assistant (staff scheduler) maintains all aspects of staff scheduling within the clinic, while adhering to collective agreements, labour legislation, and clinic staffing guidelines. Key responsibilities include coordinating coverage for planned and unplanned absences, utilizing scheduling systems to make adjustments, and the accurate and timely posting of schedules and replacement lists. This position collaborates closely with people leaders to resolve scheduling issues, administers time-off requests, and provides guidance on scheduling processes and agreements. Additional responsibilities include compiling statistical reports for leadership, maintaining employee data in scheduling programs, processing payroll-related extra payments, and booking educational and meeting spaces as needed.

Responsibilities
  • Creates and maintains staff schedules and rotations in accordance with collective agreement requirements, labour legislation, and centre policies and procedures
  • Contacts staff and schedules coverage for planned and unplanned absences
  • Utilizes scheduling tools and systems to adjust schedules according to relevant processes, collective agreement language, and centre guidelines
  • Formats, saves and posts staff schedules
  • Compiles, maintains and posts staff replacement lists
  • Compiles statistical reports for leadership on a regular and annual basis
  • Works collaboratively with people leaders to resolve scheduling issues
  • Inputs, updates, and maintains employee information in scheduling programs
  • Administers and reviews time off requests for scheduling impacts for approval by leadership
  • Provides functional guidance to staff and people leaders on scheduling related memorandums of agreements, collective agreements, processes, and online scheduling programs and tools
  • Collects, verifies, enters and submits extra payments pertaining to staff scheduling for payroll
  • Books classrooms and meeting rooms as required
  • Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment
  • Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion
  • Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement
  • Undertakes related duties, as assigned, consistent with the nature of the position.
Qualifications
  • An office administration diploma from a recognized program
  • Minimum of one year of experience creating and maintaining staff schedules in a clinical setting

Status: Term 12 months with the possibility of extension or becoming permanent

Shift: Mon - Fri 6:00 am to 2:30 pm

Salary: The salary range, based on 1.0 FTE, is $23.35 - 30.61 per hour. The starting salary will be commensurate with education and experience.
