A Canadian university is looking for a Clerical Assistant to manage staff scheduling at the clinic. Responsibilities include creating staff schedules, coordinating absences, and maintaining employee data. The ideal candidate should have an office administration diploma and at least one year of scheduling experience in a clinical environment. Strong organizational and communication skills are essential. This is a full-time role with a salary range of $23.35 - $30.61 per hour, depending on experience.
The clerical assistant (staff scheduler) maintains all aspects of staff scheduling within the clinic, while adhering to collective agreements, labour legislation, and clinic staffing guidelines. Key responsibilities include coordinating coverage for planned and unplanned absences, utilizing scheduling systems to make adjustments, and the accurate and timely posting of schedules and replacement lists. This position collaborates closely with people leaders to resolve scheduling issues, administers time-off requests, and provides guidance on scheduling processes and agreements. Additional responsibilities include compiling statistical reports for leadership, maintaining employee data in scheduling programs, processing payroll-related extra payments, and booking educational and meeting spaces as needed.
