We are hiring an Administrative Assistant to join our team! This full-time position is based in Bedford, Nova Scotia and requires office presence 5 days a week.

Your role within the team
  • Format, edit, proofread and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards (Specifications – preparing, formatting and registering specs with info provided by multi-disciplines);
  • Prepare and distribute agendas, notes, PowerPoint slides, and other material needed prior to meetings; record, prepare and distribute meeting minutes;
  • Classify documents related to projects according to the established document control procedure;
  • Respond to both telephone and email queries and direct clients to the appropriate individual as required;
  • Organize and set up conference calls, video conferences, meetings, catering; arrange the scheduling, invitations and confirmation of meetings;
  • Ensure sufficient office supplies are maintained including filing systems for correspondence and other communications both incoming and outgoing;
  • Assemble data and statistical information for research and informational purposes.

The ideal candidate
  • Minimum 2 - 4 years of previous experience working in a large office or project environment in a related role;
  • Previous work experience in an engineering environment is an asset but not required;
  • Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Adobe Acrobat; along with excellent formatting experience;
  • Ability to balance priorities while meeting deadlines and remaining detail-oriented ensuring accuracy;
  • Self-starter with excellent time management and organizational skills;
  • Strong oral and written English language communication skills, bilingualism in French is an asset but not required.
