Be responsible for leading on QOF recalls and changes alongside the Practice Manager, including data analysis. Take the lead in proactively initiating data quality improvement work. As directed by the Practice Manager, ensure that / take the lead on clinical safety alerts. Assist practice management with audits, data interrogation and reporting, and implementing searches. Implement and follow up on new clinical services being tested at the practice. Set up new staff within the practice. Keep up to date with IT changes, including emis updates. Review and maintain building checks as required by the Practice Manager. Assist and lead on the management of good quality data and auditing of practice processes, both clinical and administrative. Assist with practice recall systems and the booking of patient appointments. Identify and book appointments and home visits in line with practice protocols, including cross-organisation bookings. Search for, register if necessary, and book onto the computer system patients as they present at the desk. Deal with enquiries, signposting, and requests, either face-to-face or over the telephone, from external sources such as patients, relatives, clinical team, hospital, pathology, and colleagues. Deal with distressed or aggressive patients safely and appropriately. Prioritize patients in need of urgent medical attention and direct them to the correct clinical intervention/appointment. Handle requests from patients and GPs for emergency calls, following protocol and dialling 999 as required. Follow up hospital appointments, test results, and act upon messages from the medical team. Record visit requests and alert the duty doctor according to practice policy. Receive urgent results from the pathology department and liaise with GPs and patients. Ensure the telephone system has been transferred correctly to out-of-hours messages. Perform general administrative tasks such as scanning, filing, retrieving paperwork, photocopying, and faxing. Respond to post and emails promptly and fax/email urgent requests to hospital. Manage prescriptions, liaising with patients and pharmacies. Handle patient complaints by providing information and informing the Practice Manager. Input and alter computer records as needed. Complete new patient registration processes. Contact patients in target areas as requested. Advise patients of charges for private services and handle payments. Maintain tidiness of practice areas. Ensure patient recalls are completed via telephone or letter. Manage incoming documents and accurately code information. Summarize paper/GP2GP patient records. Handle petty cash and payments. Liaise with insurers, solicitors, and scanning companies, ensuring correct procedures. Ensure full registration process is followed. Attend staff meetings and training. Participate in annual appraisals. Provide cover for colleagues' absences. Offer general support and project a positive image. Perform any other duties necessary for smooth practice operations.
