Job Description
Scope of Position:
A detail-oriented sales and marketing coordinator to contribute to the achievement of sales and marketing targets by supporting the sales and marketing manager, coordinating sales site inspections, supporting digital marketing strategies, and maintaining good customer relationships. The sales and marketing coordinator's responsibilities include supporting sales, ensuring client satisfaction, coordinating with other departments, problem solving, handling administrative duties, and sending out quotations in a timely manner.
Sales and Marketing Coordination:
- Assist sales and marketing managers to improve their productivity by contacting customers to arrange site inspections and ensuring all managers have high-quality, up-to-date support material.
- Handle urgent calls, emails, and messages when the Director of Sales and Marketing is unavailable, answer customer queries, inform them of delays, issue quotes, and schedule and assist with site inspections.
- Follow up on quotes and assist with conversion.
- Collaborate with other departments to ensure sales, marketing, queries, and events are handled efficiently.
- Develop and maintain online filing systems to keep sales records, prepare reports, and provide financial information to the finance department.
- Prepare function sheets and coordinate pre- and post-event reviews.
- Make the company's services as attractive to potential customers as possible.
- Ensure adherence to laws, regulations, and policies.
- Coordinate with External Marketing Consultants to align digital strategies and marketing collateral with the hotel's brand image.
- Manage digital media queries, TripAdvisor listings, reviews, and responses.
- Implement and manage local campaigns and hotel website with external consultants.
- Distribute contracted rates, follow up with clients, and keep records or reports.
- Assist with administrative functions as needed.
Operational duties:
- Maintain thorough knowledge of hotel facilities and conduct regular site inspections.
- Assist with site inspections for potential clients and oversee events during busy periods, including weekends and evenings.
Systems & Procedures:
- Report system issues and suggest improvements.
- Follow policies outlined in brand standards and departmental manuals.
- Complete duties thoroughly and ensure proper handovers.
- Participate in relevant training programs.
Guest service and Employee Relationships:
- Greet guests and respond to their needs promptly and professionally.
- Lead by example in guest interactions, promote sales of hotel facilities, and maintain positive relationships with colleagues and management.
- Engage in active selling and promote hotel promotions and facilities.
- Uphold Accor values and customer service vision.
- Maintain confidentiality and exercise discretion with sensitive information.
Environmental and Social Responsibility:
- Participate in community projects and hotel social initiatives.
- Promote sustainability practices, including waste reduction, recycling, and conserving resources.
General and other Duties:
- Perform additional duties as assigned, adhering to policies on non-discrimination and safety.
- Maintain personal appearance and hygiene standards.
- Ensure guest belongings are secure and report suspicious activity.
- Attend scheduled training and strive for continuous improvement.
Qualifications
- Bachelor’s degree in Marketing, Business, Communications, or related field.
- 1–2 years of experience in sales support or marketing.
- Strong organizational, communication, and analytical skills.
- Proficiency in Microsoft Office.
- Team-oriented, proactive, and adaptable.
