A healthcare distribution company based in Kuala Lumpur is seeking a Sales & Marketing Coordinator. The ideal candidate will support the Sales Team with managing customer accounts, processing orders, and coordinating marketing initiatives in a fast-paced environment. The Sales & Marketing Coordinator supports the Sales Team in managing customer accounts, processing orders, preparing quotations, and coordinating marketing and product-related activities. This role ensures smooth communication between hospitals, clinic customers, suppliers, logistics, and internal teams to maintain high service standards and support company growth in the medical distribution market.
Assist the Sales Team with daily inquiries, quotations, pricing, and product information.
Prepare and issue quotations, sales proposals, tender documents, and product brochures for hospitals and sub-distributors.
Follow up on quotations, purchase orders, delivery schedules, and sales opportunities to support closing of deals.
Communicate with customers regarding product availability, order updates, shipment arrangements, and delivery timelines.
Coordinate demo units, trial sets, and loaner products with internal operations and logistics teams.
Handle customer issues or complaints and coordinate appropriate follow-up actions with relevant teams.
Maintain strong and professional relationships with customers and medical personnel.
Support the management of strategic hospital and clinic accounts to ensure smooth communication and timely service delivery.
Assist in invoicing follow-up, payment tracking, contract renewals, and documentation control.
Help plan and execute marketing initiatives including workshops, exhibitions, product launches, and medical conferences.
Arrange and coordinate product trials, demos, and clinical or technical training sessions.
Assist in preparing marketing materials, product presentations, brochures, and digital content.
Support social media and digital marketing activities while ensuring compliance with branding and regulatory guidelines.
Gather customer insights and market feedback to support product and sales strategy.
Review tender requirements and compile necessary regulatory certificates, product information, and administrative documents.
Prepare, check, and submit tender applications in compliance with requirements and deadlines.
Track tender results, contract terms, pricing validity periods, and renewal cycles.
Ensure documentation meets regulatory and quality standards.
Maintain and update customer databases, sales records, mailing lists, and price lists.
Prepare weekly and monthly sales performance reports, sales forecasts, and pipeline summaries.
Coordinate with warehouse and supply chain teams on stock levels, backorders, expiring items, and replenishment needs.
Support internal audits, regulatory documentation, and compliance checks.
Ensure all communications, promotional activities, and documentation comply with healthcare regulations and company SOPs.
Assist in handling complaint and recall documentation in coordination with Quality Assurance teams.
Stay updated on product technical specifications and competitor product information.
Diploma/Degree in Business Administration, Marketing, Science, Healthcare, or related field.
Minimum 1–3 years of experience in Sales Coordination, Customer Service, or Administrative Support (Medical/Healthcare industry is an advantage).
Proficient in Microsoft Office (Excel, Word, PowerPoint).
Strong communication, coordination, and follow-up skills.
Detail-oriented, organized, and able to manage multiple tasks under minimal supervision.
Ability to work in a fast-paced environment and meet deadlines.
Professional and customer-service-oriented attitude.
Ability to travel to healthcare facilities, industry events, and conferences as required. Have own transport.
Team player with a positive and proactive mindset.
Strong sense of responsibility, accuracy, and ethical conduct.
Good interpersonal skills and ability to work with various stakeholders (internal and external).
