Job summary
A leading luxury lifestyle magazine in Jakarta Utara is seeking an Administration & Circulation Staff member to support office operations and manage the distribution of magazines. Candidates should have a Bachelor's degree in Administration or Communication, with at least 3 years of relevant experience. Strong organizational skills and proficiency in both English and Indonesian are essential. The role involves maintaining records, coordinating magazine circulation, and generating reports to ensure smooth workflow.

- Detail-oriented, reliable, and customer-service minded.
- Ability to work independently and in a team.

The Administration & Circulation Staff is responsible for supporting office operations, managing documentation, and ensuring efficient circulation of magazines to subscribers, vendors, and partners. This role combines administrative precision with distribution management to maintain smooth workflows and strengthen client relationships.
Starting date : January 2026
- Maintain filing systems, records, and correspondence (letters, memos, emails).
- Assist in scheduling meetings, preparing agendas, and documenting minutes.
- Prepare invoices, receipts, and circulation-related documentation.
- Generate monthly circulation and administrative reports.
- Coordinate distribution of magazines to subscribers, newsstands, and partners.
- Maintain and update subscriber databases, ensuring accuracy of addresses and contact details.
- Track deliveries and resolve circulation issues (delays, missing copies, complaints).
- Liaise with courier services and vendors to ensure timely distribution.
- Analyse and report on circulation data, including newsstand sales, promotion reports, distribution costs, etc.
- Assist in promotional campaigns to increase subscriptions and readership.
- Support subscription billing, payment follow-ups, and renewal processes.
- Bachelor’s degree in Administration, Communication, or related field.
- Min 3 years of experience in administration and /or circulation (publishing/media preferred).
- Strong organizational and multitasking skills.
- Good communication skills in both English and Indonesian.
- Detail-oriented, reliable, and customer-service minded.
- Ability to work independently and in a team
- Customer focus and problem-solving
