Job Responsibilities:

  • As an Admin Specialist you will be in charge of managing administrative service requirements, providing office management solutions. Transfer admin solutions to procurement and suppliers to ensure that the requirements implemented effectively;
  • Maintain the office condition and arrange necessary repairs Liaise with procurement management vendors, including cleaning, facilities use, and security services.
  • Maintain the office operation management, such as responsible for the delivery, tracking and customs declaration of company packages; complete the purchase of office needs; handling general phone calls and email, and support staff queries regarding office management issues
  • Assist the CEO Office in on-site administrative service related work, organize office events, team building activities.
  • Fleet management, management company cars, pool car and car insurances.
  • Partner with HR to maintain office policies and improve employees benefits as necessary, and assist onboarding and offboarding processes.
  • Partner with Finance to ensure that all items are invoiced and paid on time; and manage the company's existing fixed assets and maintain related ledgers.
  • Assist other colleagues with urgent matters when required.
  • Provide general support to visitors

Job Requirements:

  • Ideally, a Bachelor's degree in Business Administration, Economics, or a related field.
  • Minimum of 3 years' professional experience in administrative management or supplier management.
  • Must hold a valid visa that permits full-time work.
  • Strong ability to manage priorities effectively in a large, complex, and fast-paced environment.
  • Proficient in Microsoft Excel, Word, and other office software.
  • Excellent written and verbal communication skills.
  • Fluency in English and Mandarin is required.
  • A valid driving licence is an advantage.

Working hours: Full-time
