Overview

Successful, reputable, and well-managed professional services firm based in North Vancouver. Great opportunity for an experienced Executive Assistant looking for a fulfilling and fast-paced role within a friendly and values-based team culture. Supporting one of the Founding Partners. Very well-rounded EA role with good variety in day-to-day tasks, including very complex calendar management.

Responsibilities
  • Provide executive assistance to one of the Founding Partners with very complex and detailed calendar management for a busy professional who travels nationwide for client meetings, events, conferences, speaking engagements, etc.
  • Coordinate travel and prepare final materials for meetings, including presentations and documents.
  • Maintain files and assist with tracking billable hours for the Partner.
  • Support internal communication to employees, event planning for employees and clients, and onboarding of new employees (approximately 50-person company).
  • Assist with office management tasks in collaboration with a broader administrative team as capacity allows.
  • Offer ad hoc project support and, when possible, assist other Partners and senior leaders.
Qualifications
  • At least 5 years of relevant and progressive administrative work experience in a corporate setting, with at least 2 years as an Executive Assistant (ideally 10+ years of relevant administration experience and 5+ years as EA).
  • Enjoy working in an entrepreneurial and fast-paced environment; self-motivated, resourceful, exceptionally organized, and detail-oriented.
  • Excellent communication skills (verbal, non-verbal, and written); integrity, professionalism, and diplomacy.
  • Strong computer skills; post-secondary education in Business Administration or a related field is an asset.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, etc.) and Adobe Suite (Pro, InDesign, Acrobat, etc.) is required.
Compensation & Benefits

Base salary is commensurate with EA skills and experience, likely in the range of $85,000 to $102,000, with possible wiggle room for highly relevant experience. Benefits include health & dental, a healthy living allowance, paid time off, and eligibility for a discretionary performance-based bonus. Discuss base salary and total compensation in detail with SWIM.

Location

The firm is located in the Lonsdale area of North Vancouver with convenient parking; the default schedule is full-time in-office, with potential future flexibility for occasional work from home when the Founding Partner is traveling. Discuss work schedule considerations with SWIM.
