Job summary

An established prefabrication company in Sharjah is seeking an Administrative Assistant to handle a variety of tasks including document organization, communication with clients and suppliers, and scheduling meetings. Ideal candidates should be fluent in Arabic and English, possess good computer skills, and show reliability. Experience in a similar role and a background in construction are preferred.

Qualifications

  • Fluent in Arabic and English (spoken and written).
  • Prior experience in a similar role is an advantage.
  • Background in construction or contracting is a plus.

Responsibilities

  • Handle filing, scanning, photocopying, and document organization.
  • Answer phone calls and manage emails.
  • Manage calendars and set appointments.

The Role

Role
  • Administrative Tasks
    • Handle filing, scanning, photocopying, and document organization
    • Prepare letters, memos, and basic reports
    • Maintain both digital and hard copy records
  • Communication
    • Answer phone calls and manage emails
    • Communicate with clients, suppliers, and internal staff in Arabic and English
    • Translate documents and conversations when needed
  • Scheduling & Meetings
    • Manage calendars and set appointments
    • Arrange meetings and prepare minutes
    • Follow up on assigned tasks and deadlines
  • Document Handling
    • Assist in preparing work orders, LPOs, and delivery notes
    • Ensure documents are accurate and filed properly
  • Office Support
    • Monitor office supplies and request replenishments
    • Coordinate with maintenance and service providers
    • Support HR or procurement departments as needed
Requirements
  • Fluent in Arabic and English (spoken and written)
  • Good computer skills (MS Word, Excel, Email)
  • Organized, reliable, and able to handle confidential information
  • Prior experience in a similar role is an advantage
