Job Description

You will make your mark as Office Assistant / Secretary at our Abu Dhabi branch office. As an Office Assistant / Secretary at our Abu Dhabi branch office, you will have the opportunity to make a strong impression on our employees and visitors. Your responsibilities will include warmly welcoming and assisting visitors, ensuring their needs are met and questions answered. Additionally, you will be expected to handle incoming calls promptly and professionally, directing them to the appropriate departments or taking messages when necessary. Your attention to detail and professional demeanor will contribute to creating a positive and welcoming environment for all who enter our office.

Your responsibilities as an Office Assistant / Secretary are:
  • Ensure office area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures). Provide basic and accurate information in-person and via phone/email, direct visitors to the appropriate person and office.
  • Maintain office security by following safety procedures, controlling access via the reception desk (monitor logbook), and issuing visitor badges. Perform other clerical receptionist duties as needed.
  • Managing company provided accommodation including searching, securing, and furnishing new apartments, as well as handling lease renewals.
  • Coordinate with HR Department regarding the accommodation and transportation requirements for new hires and visitors.
  • Update the company intranet site with the latest news and information and manage in‑and outgoing post and courier deliveries.
  • Organize company events, special celebrations, dinners, etc.
  • Assisting in keeping the office facilities to its utmost operational capacity
Your qualities and experience
  • Excellent communication skills in English both written and verbal.
  • At least 2 - 3 years’ relevant work experience, preferably in a multinational company, multicultural environment.
  • Experience in MS Office (excellent Excel skills).
  • Good listening skills, ability to anticipate, and attention to details.
  • Outstanding problem-solving skills and flexibility.
  • Proactive and Customer oriented approach.
