In regard to our strategic expansion in Dubai, Moncler is currently seeking a passionate and dynamic HR & Public Relations Officer (R.P.O) F/M.
The Admin & Public Relations Officer will manage essential administrative tasks related to immigration, labor services, and government documentation. This role requires attention to detail, strong communication skills, and the ability to handle multiple responsibilities efficiently.
Job main responsibilities:
1. Immigration Services
- Process new visa applications, renewals, and cancellations, while ensuring all documents meet government requirements.
- Immigration support for staff in connection to visa status
- Maintain up-to-date records of all visa-related documentation for clients to ensure compliance with local regulations for UAE. Closely monitor new procedures, policies & requirements and update to our EMEA teams
2. HR Support Services
- Manage new employment contracts, labor card renewals, and cancellations.
- Handle less frequent processes, such as sponsored labor cards, UAE Nationals' employment contracts, and GPSS registrations.
- Employee leave management: unpaid leave, medical leave and annual leave
- WPS Management: processing salaries via a WPS complaint method. Calculation of bonus, overtime, performance incentives and more
- Extract Quarterly Emiratization reports.
- Generation of secure database for all staff and company documentation, according to Ministry of Labour & Federal Labour Law
3. WPS Support Services
- WPS (Wage protection system) payments for salary & end of service, annual leave, etc.
- Management of all onboarding documentation of employee in support of HR documentation for staff including NDA, Code of conduct, Non-Compete, job description and employment contract between employee and employer
- Guarantee of initial onboarding of visa process, documentation requirement and timeline for visa progress will be provided to employees
- Heath insurance support
4. Document Management
- Ensure the timely renewal and management of licenses and permits.
- Coordinate with government authorities to complete licensing procedures and compliance requests.
- Maintain accurate records of all licensing documents and track expiration dates to ensure renewals are completed on time.
- Serve as the primary administrator for the clients governmental portals .
- Support with regulatory bodies for license compliance
- Manage the preparation and submission of government-related documents and letters.
- Coordinate with government agencies to handle any documentation required for the business.
- Ensure that all required paperwork, including approvals, permits, and certifications, are filed accurately and on time.
- Track visa and labor expirations using proper KPI monitoring and tracking files.
- Keep the contacts with local supplier for invoices related issues or payments
- Complete document attestation with the Ministry of Foreign Affairs (MOFA) and relevant embassies.
5. Other Responsibilities
- Manage employee files and documents, make sure all documents are up to date.
- Manage employee relations file.
- Manage import processes, including supplier communication, documentation, customs clearance, and logistics coordination.
- Ensuring all imported goods comply with UAE customs regulations, import laws, and international trade agreements.
- Prepare regular reports on import activities
- Full reconciled accounts with original government receipts
- Assist with any ad-hoc tasks or special projects
- Provide operational support for internal teams, ensuring that all tasks are completed efficiently and within deadlines.
- Contribute to ongoing process improvements and help streamline business operations as needed.
The ideal candidate will have a strong background in compliance, administrative support, and excellent communication skills. The position requires proactive engagement with government authorities, internal teams, and clients to maintain compliance, streamline processes, and enhance operational efficiency.
Required Profile and skills:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Certifications in administration or related disciplines are an advantage.
- Proficiency in Microsoft Excel and Word.
- Minimum 4 years of experience in administrative roles, with a focus on company licensing, visa management, or RPO services.
- Strong understanding of UAE business and visa processes.
- Experience in dealing with government rules and regulations across various government entities.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication skills in English, both written and verbal.
- Knowledge of local laws and regulations, especially in relation to visa processes, and government documentation.
- Proficient in MS Office
- Strong attention to detail and ability to manage compliance requirements.
