Job summary

A leading real estate firm in Dubai is seeking an experienced Administrative Officer to provide operational and administrative support for high-end residential projects. You will coordinate client documentation, project tasks, and compliance documents while ensuring professional communication across departments. Ideal candidates will have a minimum of 3 years administrative experience, preferably in real estate or construction, and proficiency in ERP systems. Job description

Our client, a real estate developer specialized in high-end residential projects in RAK is looking for an Administrative officer.

The Administrative Officer provides operational and administrative support to real estate development projects and the corporate office. The role involves client documentation, SPA/reservation preparation, project coordination, ERP support, authority submissions, and maintaining professional communication across departments and external.

Key Responsibilities
Project & Office Coordination
  • Coordinate with Development Departments
  • Prepare reports, letters, memos, and meeting minutes
  • Prepare and issue Reservation Forms, SPAs (Sales & Purchase Agreements), Addendums, and client correspondence
  • Coordinate between Sales to ensure all client documents are accurate and approved
  • Maintain updated logs for SPA issuance, client signatures, compliance documents, and registration requirements
  • Assist in preparing client welcome packs, handover packs, and communication letters
Document Control & Compliance
  • Maintain and organize project documents (contracts, permits, NOCs)
  • Renewal submissions to authorities (Municipality, RERA, RAK DED, RAKEZ, etc.)
  • Maintain digital and physical filing systems and document logs
  • Ensure compliance with digital approval processes and internal document controls
  • Upload and maintain documents within Oracle NetSuite or similar ERP
  • Ensure workflow compliance and data accuracy in the system
Client & Stakeholder Coordination
  • Assist with client communication and documentation
  • Email communication with clients follow-ups
