Job summary

A lighting solutions company is seeking an Administrative Personnel in Penang, Malaysia. The role involves managing office administration, maintaining accurate records, and providing support to various departments. Candidates should have at least an SPM qualification and proficiency in Microsoft Office. Strong organizational and communication skills in English are essential, while knowledge of Mandarin is a plus. Previous experience in an administrative role is preferred but strong candidates without experience may also apply.

Key Responsibilities

  • Prepare, organize Magnesium and maintain accurate physical and electronic records, documents, and reports.
  • Manage incoming and outgoing communications, including telephone calls, emails, and official correspondence.
  • Coordinate schedules, arrange meetings, prepare meeting rooms, and manage travel arrangements as required.
  • Oversee general office administration, including procurement of office supplies, inventory control, and ensuring office equipment is properly maintained.
  • Perform data entry and maintain accurate records in company systems, databases, or accounting software.
  • Provide administrative support toแท internal departments such as Human Resources, Finance, and Sales, including invoice processing, expense tracking, and recruitment documentation.

Required Skills & Qualifications

  • Education: Minimum SPM qualification.
  • Technical Competency: Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) with the ability to quickly adapt to new systems and software.
  • Organizational Skills: Strong planning and time‑management abilities, with a high level of accuracy and attention to detail.
  • Communication Skills: Excellent written and verbal communication skills in English; proficiency in Mandarin will be considered an added advantage.
  • Problem‑Solving Ability: Self‑motivated, proactive, and capable of handling administrative matters efficiently and independently.
  • Experience: 1 year of relevant administrative working experience is preferred; candidates with strong competencies may also be considered.
