Job summary

A leading infrastructure company based in Petaling Jaya, Malaysia, is seeking a coordinator responsible for managing licensing and tender processes. The ideal candidate should hold a diploma and have at least three years of relevant experience, preferably in the oil and gas industry. Responsibilities include maintaining records, ensuring timely renewals, and coordinating tender documentation. Job description

The role is responsible for coordinating, compiling and submitting company licensing and tender-related requirements.

Key Responsibilities and Accountabilities
  • a) To maintain and update records of licenses and registrations with authorities and clients.
  • b) To ensure all licenses and registrations are renewed in a timely manner to avoid any lapses.
  • c) To gather and organize required documentation for license applications.
  • d) To maintain an organized filing system for all licensing documents, including electronic and hard copy.
  • e) To perform tender / pre-screening registration, tender status update, bid assessment and tender correspondence
  • f) To manage and delegate all the incoming and outgoing correspondence
  • g) To assist in preparing responses for all the incoming correspondences requiring actions
  • h) To assist and liaise with internal and external parties such as Client, project team, consultant/ partners, consortium members, subcontractors and other parties for preparation and compiling of tender document
  • j) To update of the Tender / Pre-screening status
  • k) To prepare bid information/ bid assessment to Tender Lead & CEO for review and approval
  • l) To prepare, coordinate and submission of Pre-Screening Exercise/ Pre-Bid Qualification
  • m) To support and coordinate for Tender's Technical/Commercial Clarification compilation
  • n) To arrange or coordinate on the Site Visit / Tender briefing matters
  • o) To provide clerical support to ensure smooth running of the department.
  • p) Perform any other reasonable duties as assigned.
