Responsible for leading and strengthening the organisation’s human resource structure, systems, and people culture. This role focuses on building a sustainable HR framework, cultivating a positive and high-performance work culture, coaching leaders and employees, managing performance systems, and guiding junior HR team members.
Acts as a strategic HR partner to management while remaining hands‑on in execution.
Key Responsibilities
- HR Structure & Organisational Development
- Design, implement, and continuously improve HR frameworks, policies, and SOPs to support business growth.
- Structure organisation charts, job roles, reporting lines, and career pathways.
- Support management in workforce planning and organisational scaling.
- Ensure HR practices align with Malaysia labour laws and regulations.
- Culture Building & Employee Engagement
- Cultivate a healthy, professional, and values‑driven working culture across the organisation.
- Drive initiatives that reinforce company values, accountability, and teamwork.
- Identify cultural gaps and propose improvement plans.
- Lead employee engagement activities, internal communication, and feedback mechanisms.
- Coaching, Guidance & People Development
- Provide coaching and guidance to employees and people managers on performance, behaviour, and workplace challenges.
- Act as a trusted advisor for conflict resolution, employee relations, and people issues.
- Support leadership in developing people management capabilities.
- Guide employees through career development and performance improvement discussions.
- Performance Management & KPI System
- Design, implement, and review KPI frameworks (quarterly / annual) aligned with business objectives.
- Guide departments in setting clear, measurable, and achievable KPIs.
- Monitor KPI progress and facilitate performance review cycles.
- Ensure fair, transparent, and consistent performance evaluation processes.
- Performance Improvement Plan (PIP) Management
- Develop and manage structured Performance Improvement Plan (PIP) processes.
- Advise managers on when and how to initiate PIP appropriately.
- Conduct PIP meetings, document progress, and provide coaching support during the PIP period.
- Ensure PIP processes are fair, well‑documented, and legally compliant.
- Orientation, Onboarding & Offboarding
- Oversee structured orientation and onboarding programmes to ensure smooth employee integration.
- Ensure new hires understand company culture, policies, performance expectations, and workflows.
- Manage offboarding processes professionally, including exit interviews and handovers.
- Employee Relations & Compliance
- Handle employee relations matters, disciplinary actions, and grievance cases professionally.
- Ensure documentation and processes comply with Malaysia Employment Act and HR best practices.
- Support management in disciplinary inquiries and domestic investigations when required.
- Continuous Improvement & HR Excellence
- Identify gaps in HR systems and propose continuous improvements.
- Keep updated on HR trends, labour law updates, and best practices.
- Support digitalisation and standardisation of HR processes where applicable.
Required Experience & Qualifications
Mandatory in Mandarin.
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or related fields.
- 5–8 years of HR experience, with exposure to both strategic and hands‑on HR functions.
- Proven experience in organisational structuring, culture building, and performance management.
- Strong knowledge of Malaysia labour laws and HR compliance.
- Experience coaching employees and managers across different levels.
- Strong leadership, communication, and interpersonal skills.
- Able to handle sensitive matters with professionalism and confidentiality.
