Overview
A Personal Assistant to the Chief Technical Officer in a construction company plays a critical role in providing administrative, organizational, technical support. This role ensures that the CTO who is responsible for overseeing all technical aspects of the company's construction projects and innovation can operate efficiently and focus on high-level strategic work.
Responsibilities
- Manage the CTO’s calendar, schedule meetings, and coordinate travel and site visits.
- Handle email and communication on behalf of the CTO, prioritize messages and draft responses.
- Organize and maintain technical files, project documentation, drawings, and reports.
- Coordinate with project managers, engineers, and site staff to collect progress updates and reports.
- Assist in preparing technical presentations, client proposals, and internal reports.
- Track deadlines, project milestones, and action items to support timely decision-making.
- Act as a liaison between the CTO and internal departments such as contract team, procurement, HR, and finance.
- Communicate with external stakeholders including consultants, contractors, and clients.
- Maintain confidentiality of sensitive business and personnel information.
- Support research and documentation for new technologies, tools, or technical standards.
- Help manage digital systems and tools document control platforms, project management software.
Job Requirements & Qualifications
- Minimum 2-4 years as a Personal Assistant or Administrative Assistant, ideally within construction, engineering, or technical fields.
- Diploma or degree in Business Administration, Construction Management, Engineering, or related discipline preferred.
- Basic understanding of construction processes, terminology, and technical documentation (drawings, specifications).
- Strong organizational and multitasking abilities.
- Excellent communication skills (written and verbal).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with project management tools is a plus.
- High level of confidentiality and professionalism.
- Detail-oriented and proactive problem-solver.
- Ability to work independently and as part of a team.
- Adaptable to shifting priorities and fast-paced environments.
- Willingness to travel to construction sites as needed.
