Job summary

A growing F&B company in Malaysia is seeking a Personal Assistant to support the Group CEO. Responsibilities include managing the CEO's calendar, organizing meetings, and coordinating travel schedules. The ideal candidate has at least 3 years of experience in a similar role, with strong organizational and time-management skills. This role requires excellent communication abilities and the capacity to handle sensitive information discreetly. Own transport is essential due to travel within Klang Valley.

We are a growing business group with multiple brands under our portfolio, primarily in theF&B industry (cafés, restaurants, and retail food concepts), along with several other ventures in non-F&B sectors. Our brands are well-established in major shopping malls and lifestyle hubs, and we’re known for combining creative products with strong operational discipline. The Group is currently in an exciting phase of expansion, digital transformation, and brand building, with a lean but dynamic leadership team driving the business forward.

This role supports the Group CEO, who is deeply involved in brand direction, outlet performance, new projects, and tech-enabled decision-making.

Responsibilities

Organize and manage the CEO's calendar, prioritizing appointments and scheduling meetings to optimize time and reduce conflicts.

Ensure all meetings, catch-ups, and food tastings are well-coordinated and accounted for, considering travel time across the Klang Valley.

Prepare agendas, materials, and follow-up actions for meetings with department heads, outlet managers, or chefs (if needed).

Take minutes during meetings and track progress on deliverables.

Plan and coordinate the CEO's travel schedules within Klang Valley, ensuring timely arrival at appointments.

Adjust routes and schedules based on priorities or unforeseen circumstances.

Act as the first point of contact for indirect reports, redirecting queries to relevant departments.

Reduce interruptions by streamlining communication channels for indirect reports.

Assist with reviewing and organizing documentation related to menu development, outlet progress, and other initiatives.

Maintain a database of key contacts, deadlines, and projects for easy reference.

Act as a liaison between the CEO and internal teams, ensuring clear and concise communication.

Job Requirements

Preferably 3 years experience in Personal Assistant, or similar role.

Exceptional organizational and time-management skills.

Strong communication and interpersonal abilities.

Ability to work independently, exercise discretion, and handle sensitive information.

Possess own transport.
